As TSA’s Accounts Payable Officer, you will be responsible for managing the financial obligations of the company by overseeing the payment of invoices and ensuring that all financial transactions related to the company's expenses are processed accurately and in a timely manner.

What will your normal day look like? 

• Reviewing and processing invoices received from vendors, suppliers, and  service providers
• Set up new vendors through our EFTSure verification system to verify their bank details against bank database. Verifying the accuracy and legitimacy of 
• invoices, ensuring that goods or services were received as per the agreed-upon 
• terms. verifying vendors through our EFTSure system.
• Entering invoice details and relevant financial information into the company's 
• accounting system Epicor.
• Coordinating and processing payments to vendors and suppliers according to established payment terms and schedules.
• Monitoring and managing the company's expenses in Promaster, and ensuring 
• compliance with financial policies.
• Corresponding with vendors regarding payment inquiries, discrepancies, and other financial matters.
• Maintaining accurate and organized records of all accounts payable transactions, invoices, and payment documentation.
• Reconciling accounts payable records with statements from vendors and resolving any discrepancies.
• Ensuring compliance with internal policies, industry regulations, and legal 
  requirements related to accounts payable processes. Ensuring compliance with internal IT policies related to phishing, scams and fraudulent emails.
• Generating reports on accounts payable activities, financial liabilities, and 
  outstanding payments for management review. 

The scope of this position is to process Media vendor invoices into Starscape system. This includes invoice inward, validation and processing of vendor invoices of multiple media tv like TV, Digital, radio, press etc.  

ESSENTIAL FUNCTIONS:

Role (Accounts Payable)- To process media invoices for TV/Radio/ Digital/ Outdoor/ Press.

The AP Payments Processor is responsible for the timely, accurate, and thorough execution of payment processing and recording for in-scope Food Group entities in accordance with defined service level agreements (SLA) and key performance indicators (KPI).

Key duties and responsibilities:

● Processes high volume of incoming and outgoing payments accurately using various methods, such as credit/debit cards, electronic fund transfers (EFT), checks, and mobile payment platforms
● Enters payment details into the system accurately and verify the correctness of all transaction information, including account numbers, payment amounts, and payment dates
● Timely submits requests for funding to Treasury to cover payments
● Maintains detailed and organized records of all payment transactions, correspondence, and related documentation (e.g. OR). Ensure that records are updated in compliance with data privacy regulations
● Monitors payment transactions for signs of fraudulent activity and take appropriate actions to prevent unauthorized transactions. Collaborate with the security and risk management teams to mitigate potential risks
● Investigates and resolves any discrepancies or issues related to payments, such as mismatched amounts, incorrect account information, or failed transactions. Communicate with relevant parties to rectify problems promptly
● Adheres to relevant industry regulations and internal company policies governing payment processing, data privacy, and financial security. Stay updated on changes in regulations and industry best practices
● Provides assistance to customers and internal stakeholders regarding payment-related
inquiries, ensuring a positive and helpful interaction. Address concerns, answer questions, and guide users through payment processes
● Randomly audits proper matching of receipts with the payment posted
● Receives and deposits excess cash from cash advances and provides receipts to the employees
● Manages the revolving funds (peso and dollar) and petty cash funds issued to employees/custodians
● Coordinates with bank partners for different bank transactions such as Manual MC Request, Check Transfer/Cancellation/Pull-out, Accomplishment of Bank Application Forms, etc.
● Monitors issued checks and facilitates the crediting back of cash to bank account for those checks that went stale

Summary of the Role:

You will be working under the Finance department and will be responsible for the delivery of all activities relating to Accounts Payable, Accounts Receivable and General accounting.

Job Responsibilities:

• Perform month- end accounting activities such as reconciliations and journal entries.
• Accounts Payable: validate vendor invoices and staff claims, approval, receiving and completes payment.
• Accounts Receivable: monthly invoicing, monitors ageing and issuance of necessary official receipts/acknowledgment receipts.
• Monthly balance sheet preparation and analysis.
• Validates withholding tax report, and PEZA report for filing.
• Involve in both external and internal audit of the company.
• Compiling and preparing routine reports and summaries.
• Implement proper controls to safeguard company assets and ensures data accuracy.

 
Qualifications:

• Diploma or Bachelor's Degree in Accounting or equivalent
• Must have 1- 2 years relevant experience.
• Proficient in Microsoft Office Applications, including Excel.
• Strong attention to detail and accuracy
• Ability to work independently on assigned duties.
• Demonstrates an ability to manage a variety of priorities while meeting deadlines.

WHAT IS YOUR ROLE

We’re looking for a detail-oriented Accounts Payable Specialist that’ll play a crucial role in ensuring

timely and accurate processing of vendor invoices, maintaining positive relationships with vendors, and

contributing to the smooth flow of financial operations.

WHAT WILL YOU DO

Bill.com:

● Enter and verify vendor invoices in Bill.com, ensuring accuracy and completeness of information.

● Utilize Bill.com approval workflow to route invoices for internal review and authorization.

● Manage exceptions and discrepancies, communicating effectively with vendors and internal stakeholders.

● Prepare weekly payment proposal for review by Accounts Payable Manager.

Accounts Payable Processing:

● Reconcile vendor statements and investigate discrepancies.

● Maintain accurate and organized records of all payables activity.

● Assist with month-end close activities.

● Participate in ad-hoc projects.

Vendor Management:

● Communicate effectively with vendors regarding invoices, payments, and account inquiries.

● Collection of documents for vendor onboarding and importing data into our AP system.

● Assist with updating and maintaining vendor information in Bill.com and internal systems.

● Assist with resolving vendor disputes and issues.

YOU HAVE…

• Minimum of 2 years of experience working as an Accounts Payable Clerk.
• Strong data entry and proofreading skills.
