Job Title: Executive Assistant/Chief of Staff

Work Hours: M-F; 9:00 AM-5:00 PM Central Time/11:00 PM-7:00 AM PH Time

Salary: 1,300-1,800 USD per month

About the Job:

Executive Assistant with self-directed advancement. The successful candidate will handle administrative and project management tasks.

Duties and Responsibilities:

• Maintain/update data in HubSpot.
• Maintain/update database in Airtable.
• Daily project management (calls with providers and clients) and updates in Asana.
• Tracking scorecards and measurables for reporting.
• Managing calendar and scheduling.
• Documenting processes and procedures (AORs and SOPs).
• Create and document SOPs in the Handbook.
• Provide administrative support (professionally and personally).
• Interact with clients and vendors.
• Perform general research, and create reports.
• Implement and execute operations processes.
• CRM (Hubspot) data integrity.
• Contract and order management (more task management than project management).
• Help with company procedures.
• Assist with hiring (job descriptions, interviews, shortlisting, etc.) 

• 2-3 years of relevant experience in the role.

• Excellent English spoken and written.
• Has experience working as an EA (ideally with a larger company with structure, and also with the owner/founder using an EA for the first time).
• Has done this using Google Workspace for email and calendaring with executives.
• Has used project management tools like Asana and HubSpot.
• Has been working in the US time zone.
• University educated; Bachelor's level of education is important, sophisticated, and cosmopolitan.
• Appropriate computing resources, internet, and backups are required.

Ideal/Preferred:

• Tools: Slack, Zoom, Canva, DocuSign, Loom, and Airtable.
• Background in Engineering and Legal (or potentially paralegal).

Reporting directly to the Customer Support Director – Player Engagement. The Executive Assistant provides administrative support in a remote working relationship. The Executive Assistant serves as a liaison to the executive and senior management teams; organizes and coordinates internal and external relations efforts; and helps oversee special projects driven by the CS Director. The Executive Assistant must be flexible and enjoy working in an environment that is mission-driven, results-driven and customer and employee-friendly. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

This Executive Assistant must be adept at translating ambiguous narratives into clear actions, organizing meetings, managing schedules, and ensuring timely follow-ups. This role demands business maturity, exceptional coordination skills, and the capacity to handle multiple stakeholders.

• Administrative Support: Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing reports; preparing presentation slides, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings (e.g. visa preparation, travel documents, expense report, etc.).
• Project Management: Helps manage a variety of special projects for the Customer Support Director. Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Other duties as required from time to time.

Other Requirements:

• Bachelor's degree or relevant experience
• Strong work tenure: minimum of 3 years of experience in a similar capacity (preferably supported global senior leaders or executives)
• Excellent English written and verbal skills
• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), conference call systems and other platforms
• Amenable working in European shift (3pm to 12am)

The company is a downstream petroleum distributor. They specialize in gasoline distribution and marketing.​ They believe that a strong backcourt offering and brand recognition are the key drivers of gasoline sales and margin.

About the Role:

You will function primarily as an accountant wherein you will be responsible for handling lapsed books, and preparing reports and reviews. Additionally, you will do calendar management, social media functionalities, and other administrative tasks.

Primary Responsibilities:

Bookkeeping and Accounting:

• Prioritize and efficiently catch up on lapsed books.
• Coordinate effectively with the US-based staff accountant and office manager.
• Preferably possess experience in fuel distribution to enhance understanding and efficiency.

Financial Reporting:

• Generate comprehensive reports to facilitate informed decision-making within the organization.

Control Reviews:

• Conduct thorough control reviews to ensure financial accuracy and compliance.

Secondary Responsibilities:

Executive Assistance:

• Act as an integral part of the team by providing executive support.
• Manage follow-ups, ensuring timely completion of tasks.
• Coordinate schedules and assist in various administrative responsibilities.

Social Media Coordination:

• Demonstrate familiarity with social media management

• At least 3 years of relevant experience (accounting AND administrative roles)
