Your day-to-day responsibilities will include:

Service Efficiency

• Monitor and update the implementation of Fixed Service scheduling for both PC & IH
• Monitor and ensure the timely submission of copies of service card, service report or other service documents as required for invoice attachment
• Maintain good communication and coordination with Service team, Sales team, Credit and Collection, Operation Excellence and Finance team

Administration and Policy Directive

• Ensure all required reports and returns are prepared accurately, submitted on time and in line with the business requirements
• Monitor and ensure all required documents like Service Agreements/Job Acceptance, SRS, IDAR, Credit checklist, client info sheet, etc. are available and complete for New Business and Jobs Sales prior to any service being carried out by technicians
• Responsible for the monthly generation of Credit Notes (CN) as a result of incomplete or non service to customers with validated attachments of Service Card, SRS and Invoice. Generated CN must be verified by the Service Manager and forwarded to Opex team in Manila Office before every month end cut off
• Responsible for managing the branch’s Petty Cash Fund. Ensure proper controls and approval matrix implemented
• Partner with branch collector in AR monitoring and follow up of collections from customer

Risk Management

• Assist Management in the prevention, detection and investigation of fraud
• Raise the level of fraud awareness in daily business function and obtain management's support in addressing key issues identified
• Advise immediate superiors of any changes in the Branch which may significantly affect Company’s business, or result in litigation either with customers or within the business

Responsibilities

• Training & Development - facilitates TNS/TNA, training plan and calendar, sourcing of providers, implementation and evaluation/feedback; conducts onboarding orientation and other HR related orientations
• Employee Relations - spearheads company events/CSR activities, exit interview/off boarding, newsletter, company policy updates, etc.
• Attends to inquiries of employees in coordination with the HR Team
• Recruitment - sourcing, initial screening, testing, interview; participates in school fairs/organizes job fair
• Prepares regular reports/presentations/posters or flyers
• Support in the implementation and administration of employee benefit programs.
• Prepare HR-related reports and documents, such as employee contracts, policies, and procedures.
• Performs other HR & Admin tasks/responsibilities.

• Bachelor's degree in Psychology, Human Resources Management or Behavioral Sciences
• At least 3 to 5 years work experience as a generalist focusing on Recruitment, Training & Development and Employee Relations
• Knowledgeable in MS Computer applications
• Good communication skills, oral and written
• Background in Psychological testing, an advantage
• Ability to handle multiple functions and tasks while managing work time efficiently
• Positive energy, articulate, and has a friendly personality

We are seeking an ADMINISTRATIVE ASSISTANT to ensure timely delivery, maintain precise records on shipments, and assist the Finance team in relation to suppliers and shipments.

This is a full-time role, Monday to Friday, Dayshift.

ABOUT THE ROLE

We are seeking an ADMINISTRATIVE ASSISTANTto join a close-knit team in Australia. Your role will involve managing communication with suppliers and freight forwarders, ensuring the purchase order's accuracy and completeness, and overseeing the shipment process. Your great work will contribute to minimising delays, reducing costs, and improving overall efficiency, which can contribute to the success and profitability of the business.

 RESPONSIBILITIES

·        Respond to emails received from suppliers and freight forwarders and promptly reply to any inquiries or requests they may have.

·        Ensure that all purchase orders have been confirmed by the team, the information is complete, and the data is entered into the system.

·        Coordinate and manage the shipment process for furniture orders, both domestically and internationally.

·        Collaborate with suppliers, freight forwarders, and logistics partners to ensure timely transportation of goods.

·        Prepare and organise shipping documentation, including customs paperwork for international shipments, in compliance with regulations.

·        Track and monitor shipment progress, regularly updating internal teams and customers.

·        Proactively address any shipment-related issues, such as delays or discrepancies, in a timely and effective manner.

·        Work closely with the production team to ensure accurate packing and preparation of orders for shipment.

·        Maintain accurate shipment records and update relevant systems and databases.

·        Monitor transportation costs and identify opportunities for cost optimisation while maintaining quality and timeliness.

·        Assist the finance team in managing accounts receivables, payables, and reconciliations.

·        Stay up-to-date with industry regulations, best practices, and emerging trends in shipping and logistics.

·        Bachelor’s degree in Business Administration or similar.

·        At least three (3) years in a similar role, preferably with an Australian small to mid-size company.

·        Knowledge of the furniture industry is an advantage.

·        Proficiency in Microsoft Office 365, particularly MS Excel, is a must.

·        Strong attention to detail and exceptional analytical and problem-solving abilities.

·        Excellent organisational skills with the ability to prioritise tasks, work on multiple assignments, and manage time effectively.

·        Ability to work independently and collaboratively as part of a team in a fast-paced, complex process-driven industry environment.

·        Strong sense of accountability and reliability to produce quality output in line with internal processes.

·        Excellent verbal and written English and interpersonal skills to interact with team members effectively.
