Tasks & Duties

Cluster Client Delivery

• Acquires functional knowledge and understanding of the clients’ agreements, Scope of Work (SOW), SLA’s and other necessary information needed to review and/or prepare deliverables.
• Monitors if the team has the needed information, data and supporting documents are received for the review/preparation of the needed requirements.  Addresses and escalates issues, as needed.
• Monitors the consistency and quality of the deliverables within the agreed timeframes of the teams. 
• Provides support (for timelines) and address issues (for quality), as needed.
• Provide support for the rest of the team and other teams by allotting additional capacity, as needed.  At the same time, initiates the request for support needed from other teams.
• Monitors and communicates the review comments of the team and then follows up to address pending comments for preparers, as needed.

• Oversees the quarterly debrief meeting with the cluster to review the team's performance.  Then addresses concerns and drives resolutions based on its criticality and complexity. 
• Decides the proper treatment for transactions when differences in points of view arise, and escalate recommendations to appropriate authorities, as needed.
• Decides on escalated recommendations and if necessary, escalate to SMEs or technical team.
• Monitors and works with the Assistant Manager to enforce process standards across the teams.
• Acts as first level of escalation of issues/concerns from the funds assigned to their clusters.
• Supports Project Managers by functioning as SMEs, coordinating with stakeholders, and allocating resources.

Workflow Management

• Ensures timesheets are completed daily and accurately filed for all hours worked.
• Reviews and approves timesheets of their team and ensures they are completed daily and accurately filed for all hours worked in a timely manner (of their AM's and SA's).
• Reviews and pre-approves filed overtime of their team (AM's and SA's).
• Setups, monitors and updates all deliverables via the workflow planner in a timely manner, as needed.
• Monitors and ensures the completeness and accuracy of all deliverables via the workflow planner in a timely manner. 
• Analyses and proactively manages team capacity deliverables by allocating needed resources/support.

Systems

GENERAL  

• Supervise daily operations of credit and accounts receivable. 

• Establish and maintain local credit policies and procedures regarding billing, collection, credit cards, inquiries, cheque cashing, etc. 

• Maintain a close working relationship and communicate with the Room Sales, Catering & Events, Food & Beverage and Front Office departments. 

• Ensure the hotel complies with corporate policy on Credit and Accounts Receivable.

The position is responsible in assisting the Director of Finance in the administration of all financial aspects of the hotel’s operations, to ensure that all local and corporate policies and procedures are observed and to oversee daily accounting operations in the hotel.

ACCOUNTING 

• To review the daily revenue report prepared by the Income Auditor and to prepare the Income journal. 

• To verify that journals and journal vouchers are properly recorded and accurate. 

• To verify that the general ledger and sub-ledger postings are accurate, ensure that general ledger and sub-ledger balances correspond and all contra/clearance accounts are cleared at month-end. 

• To manage prepaid and accrued expense monthly allocations and other allocated expense calculations and to ensure they are properly accounted for. 

• To review the salary calculations and ensure that labor expenses are properly posted. 

• To review the Monthly Food & Beverage Cost Controller’s Report and to verify the proper booking of the costs. 

• To check a draft of monthly account statements, verifying that there are no errors or unrecorded amounts and to report to the Financial Controller. 

• To verify that fixed assets are purchased according to the capital expenditure budget, that amounts are properly recorded and the fixed assets ledger completed. 

• To verify that the computer system is operating smoothly and that all necessary accounting records are correctly prepared. 

FINANCIAL 

• To maintain close communication with the public auditors and to communicate instructions for the preparation of internal and external audits, preparing all necessary data and documents, in conjunction with the Financial Controller. 

• To maintain a working knowledge of the accounting regulations of the region where the hotel is located. 

• To verify the daily bank balances through review of the bank statements for all bank transactions and to prepare the bank reconciliation and credit card reconciliation to be submitted to the Financial Controller for approval. 

• To verify the accuracy of the General Cashier report and that revenue receipts are daily deposited into the bank by the General Cashier. 

• To perform monthly physical inspections for cash held by the cashiers (on a random basis) and to review daily cash balance lists from the General Cashier for cash on hand. 

• To ensure that unused cheques and other bank forms are safely stored and that all measures are taken to protect cash on hand at any point of sale area and the General Cashier’s room. 

• To verify the daily foreign exchange rates comply with and are advertised according to the procedure. 

• To prepare actual and estimated working capital schedules and to submit them to the Financial Controller. 

TAXATION 

• In regards to sales tax, consumption tax and payroll related taxes, to verify that amounts are promptly declared and paid on time. 

• To ensure that all tax matters are treated in a proper manner and in compliance with related legislation. 

• To follow up any tax changes and other legislation. 

OTHER RESPONSIBILITIES 

• To supervise and control subordinates to discharge their duties in an effective and efficient manner. 

• To ensure teamwork and efficient operation of the department through team spirit development. 

• To check the workload for the Accounting department and assist the Financial Controller in setting and changing assignment of work in order to prevent overburdening one part of the staff with heavy workload. 

• To manage the vacation schedule for the Accounting department, doing the necessary adjustments to prevent any trouble in the daily operation. 

• To evaluate employee performance and make suggestion to the Controller accordingly. 

• To plan and organize training for the staff in areas of accounting and finance.

1.    Purchase needs and meet orders, gather information about the market, manage relationships with vendors, and ensure that purchases are made on time by placing orders with vendors.
2.    In line with the standards and procedures identified by the facility and the Head Office, carry out all purchases related to the facility in coordination with the Purchasing Department and monitor, plan and deliver them on time and according to budgetary discipline.
3.    Gather quotes from companies for all supplies that enter the facility.
4.    Decide on how the supplies will be purchased, in line with the policies identified by Cluster General Manager.
5.    Prepare lists of approved suppliers.
6.    Collect orders from the departments and ask for written quotes from companies. Submit the top three quotes that are compatible with the policy.
7.    Organise the drivers and vehicles for purchasing and administrative purposes.
8.    Control the invoices and waybills for goods purchased from other companies and organisations.
9.    Control whether the goods received from the companies comply with the required quality standards. Contact companies that have not delivered goods with the required quality standards and ensure that the proper quality goods are delivered.
10.    Ensure that employees in the Purchasing Department work in a coherent and systematic manner.
11.    Organise periodic department meetings.
12.    Identify the training needs of the department’s employees and offer in-house and external training opportunities.

Overview of the role

 About the role: 

As a Project Manager, you’ll contribute to a critical component of our success. While working closely with clients and internal teams to deliver innovative, new solutions that meet their needs and help advance the way the world pays, banks and invests.    

What you will be doing: 

• Works individually or within a team on technology business consulting projects to meet specific client requirements.

• Serves as liaison between end-users and consultants during consulting projects. Researching client needs, analyzing trends and best practices and creating detailed program specifications  

• Devising procedures to achieve greater efficiencies and solve complex technical problems.  

• Assessing available technologies and recommending solutions. 

• Expertly researches and documents client needs, technology or regulations related to system design, enhancement and acquiring hardware or software that will impact multiple platforms and/or applications.

• Defines product scope, objectives and requirements. Defines specifications and data models for product development and testing.

• Creates detailed specifications from which programs will be written.

• Analyzes marketplace, industry, company, technology trends and best practices, vendor products and services, etc. Also analyzes system impacts to other systems and procedures.

What you will need:   

• At least 10 years of experience with Project Management, P&L Analysis, Project Financials and Resource Management

• Must have worked in a capital markets environment (banks) or with financial services vendors handling banking clients

• Background in managing project implementations of Treasury Systems 

• Must have hands-on project management experience and must have been in the role of a dedicated project manager, responsible for delivering end-to-end Treasury projects for clients 

• Must be flexible with the working arrangement. Depending on the client, selected candidates should be open reporting onsite to a local client; work remotely or do business travel if assigned to clients overseas.

• In-depth knowledge of Financial Services products and services.

• Advanced knowledge of multiple end-to-end project implementation life cycles, i.e., waterfall, agile, hybrid, iterative and other modern approaches to project implementation  methodologies

• Advanced knowledge of the tools, techniques and principles used in application development in objective-oriented development or other relevant technology

•  Proficiency in quality management methods, tools and technologies

Bonus if you have: 

• Background with Quantum, Integrity Treasury Systems

• Project Management Certification is a plus.
