As a member of the Business Operations branch of Corporate IT, the IT Mobile Asset Management Associate is part of the team responsible for the lifecycle of user assets needed by our 22,000 global end users. In addition, this person is in position to execute effective and efficient procurement and asset services, ensuing values and competencies in maintaining transparency, integrity, and compliance. The Asset Management Associate derives meaningful operational metrics which align to OLA and SLAs across the function, and manages continuous improvements with regards to accurate and appropriate inventory across the enterprise.

Reporting to Visa's Director of IT Asset Management, this role’s primary focus is with inventory data maintenance.  As a business office function, this role has significant impact on the day to day success of the overall transformational journey of Corporate IT. The Asset Management Associate works with internal customers and peers to ensure data accuracy and lifecycle management of assets.  As needed, they support the delivery of financial and logistical acquisition of End User assets. She/He works with peers to derive total cost of ownership (TCO) improvements through operational efficiencies as well as vendor management activities.
Areas of experience include data analysis around asset lifecycle, inventory management and reporting, process development, optimization and global logistics and on-time delivery of services/assets.

Essential Functions

Operational

Interact with end users via telephone, e-mail, and M.S. Teams to provide procurement support.

Assisting team members as needed to ensure the entire asset service is robust and operationally efficient

Managing the upgrade eligibility for mobile assets.

Managing the refresh of assets for their assigned region

Monitor approval queue for wireless device requests.  Check for correct procurement procedure.

Ensuring timely delivery of goods, works and services using the team’s procurement procedures.

Implementing the process of procurement and asset activities, inventory control, logistics and distribution, ensuring effectively functioning processes to avoid costly delays and lost opportunities

Review inventory monthly reports from dashboard for offboarded employees, terminate service if necessary, and update record.

Reconciling inventory across a variety of systems and statuses (in stock, in use, legal review, etc.) as well as wiping/disposal activities.

Perform monthly inventory validation audits for Visa sites. This includes validation of status and the reconciliation of certificates of destruction when an asset is decommissioned.

Regularly updating status of mobile asset inventory.

Controls and Reporting

Guaranteed accurate inventory reporting.

Ensure audit and control regulations are met, including asset reconciliation and disposal certifications.

Interrelationships

Ensure effective lines of communication between stakeholders, primarily those whom are within the Corp IT  department, but also between Finance, Procurement and other cost center owners

Manage relationships with vendors, suppliers and contractors to facilitate smooth flow of services

Work with wireless device vendors to track procurement requests and resolve any issues such as out of stock, delays, and cancellations.

Area of Responsibility:

• Conduct thorough investigations into requests for new suppliers. Verify the legitimacy, compliance, and necessity of adding new suppliers.
• Manage and update critical contact information for both new and existing suppliers. Support retriggering Inherent Risk Questionnaire (IRQ) processes as needed.
• Monitor the status of IRQs to ensure timely processing and completion. Identify and address any delays or issues in the IRQ process.
• Manage the timeout process for IRQs, ensuring that any IRQs that exceed predefined time limits are appropriately addressed.
• Review IRQs paused during onboarding to determine the cause and necessary steps to resume or cancel the onboarding.
• Provide support for the recertification process of suppliers, ensuring compliance with organizational standards and requirements.
• Manage the Employee Center and mailbox to ensure efficient communication and information flow.

The Manager, Service Management is responsible for establishing and overall management of the Service Management function for AECOM GBS with the responsibility of developing and maintaining Demand/Roadmap Management, Transition Management, Service Level Management and Document Management.

The position will report to the Manila Centre Manager & Head of Global Service Management and will be working closely with the other functions within the COO Office – PMO/CI, Process/Technology Management, Reporting & Analytics Team.

The person is expected to provide strong leadership in a matrix environment to promote best practices in managing interrelated projects and programs to ensure successful delivery. You will need a strong focus on results and an eye for detail, combined with an emphasis on managing stakeholders across the organization to build credible and trusted relationships.

Responsibilities & Duties

• Lead transition activities at GBS and develop required plans and processes in order to meet timelines and service objectives.
• Resource, develop and manage service level management; this includes service catalogues, change control process, DTP documentation, SLAs and performance reporting, and governance.
• Develop business cases, proposals and marketing packs to help secure new work coming into the Centre.
• Oversee the portfolio of transition/projects, providing expert knowledge and support, and monitoring progress and reporting on the portfolio status ensuring compliance of transition/projects portfolio with the AECOM transition approach, governance, cost and service level parameters.

The project-based Protocol Specialist will assist the Protocol team in manually translating reports through the QIMA Translate tool.

Data Management Associates are responsible for supporting the Data Management workstream within the AGS Implementation process for MSP or Procurement Solutions projects. The Data Management Associate is responsible for collecting and tracking incumbent worker data from a variety of sources, analyzing data gaps, validating data and transforming data for upload. The Data Management Associate will be responsible for discovering and resolving gaps in data to prepare the information for loading into a VMS. The Data Management Associate will attend all internal and external project calls, and report workstream status. The Data Management Associate will build the necessary relationships between outside vendors, clients and internal project teams to complete project tasks on deadline and with quality. Data Management Associates will partner with Data Management Analysts to quality check/audit data loads as part of their training. Data Management Associates are also expected to work on various projects including audits, rate card / worker modifications and other general team projects. Data Management Associates are expected to support multiple projects simultaneously.
