The Asset Management Associate works with internal customers and peers to ensure data accuracy and lifecycle management of assets.  As needed, they support the delivery of financial and logistical acquisition of End User assets. She/He works with peers to derive total cost of ownership (TCO) improvements through operational efficiencies as well as vendor management activities.
Areas of experience include data analysis around asset lifecycle, inventory management and reporting, process development, optimization and global logistics and on-time delivery of services/assets.

Essential Functions

Operational

Interact with end users via telephone, e-mail, and M.S. Teams to provide procurement support.

Assisting team members as needed to ensure the entire asset service is robust and operationally efficient

Managing the upgrade eligibility for mobile assets.

Managing the refresh of assets for their assigned region

Monitor approval queue for wireless device requests.  Check for correct procurement procedure.

Ensuring timely delivery of goods, works and services using the team’s procurement procedures.

Implementing the process of procurement and asset activities, inventory control, logistics and distribution, ensuring effectively functioning processes to avoid costly delays and lost opportunities

Review inventory monthly reports from dashboard for offboarded employees, terminate service if necessary, and update record.

Reconciling inventory across a variety of systems and statuses (in stock, in use, legal review, etc.) as well as wiping/disposal activities.

Perform monthly inventory validation audits for Visa sites. This includes validation of status and the reconciliation of certificates of destruction when an asset is decommissioned.

Regularly updating status of mobile asset inventory.

Ensuring strict adherence to our process lifecycle, updating systems and documents regularly

Controls and Reporting

Guaranteed accurate inventory reporting.

Ensure audit and control regulations are met, including asset reconciliation and disposal certifications.

Ensure full compliance of procurement activities, financial rules and regulations, relevant organizational directives and administrative Instructions.

Preparing accurate ad-hoc, monthly and quarterly inventory level reports as required

Prepare monthly reports from dashboard for mobile asset reconciliation.

Ensure all activities are compliant with standard reporting requirements and audits.

Interrelationships

Ensure effective lines of communication between stakeholders, primarily those whom are within the Corp IT  department, but also between Finance, Procurement and other cost center owners

Manage relationships with vendors, suppliers and contractors to facilitate smooth flow of services

Work with wireless device vendors to track procurement requests and resolve any issues such as out of stock, delays, and cancellations.

Strategic

Maintain and ensure adherence to Standard Operating Procedures, control of workflows, continuous business processes monitoring and delivery of improvements as it pertains to inventory accuracy.

Recommend continuous improvements to team, sourcing, technicians to drive measurable improved performance

Work with local sourcing to deliver best plan, feature, and pricing for mobile service.

Participate in various Asset Management projects as needed

Area of Responsibility:

• Conduct thorough investigations into requests for new suppliers. Verify the legitimacy, compliance, and necessity of adding new suppliers.
• Manage and update critical contact information for both new and existing suppliers. Support retriggering Inherent Risk Questionnaire (IRQ) processes as needed.
• Monitor the status of IRQs to ensure timely processing and completion. Identify and address any delays or issues in the IRQ process.
• Manage the timeout process for IRQs, ensuring that any IRQs that exceed predefined time limits are appropriately addressed.
• Review IRQs paused during onboarding to determine the cause and necessary steps to resume or cancel the onboarding.
• Provide support for the recertification process of suppliers, ensuring compliance with organizational standards and requirements.
• Manage the Employee Center and mailbox to ensure efficient communication and information flow.
• Minimize the need to interface with internal stakeholders by using your initiative.

• Coordinate with stakeholders to determine necessary actions for each timed-out IRQ.
• Implement corrective measures to prevent future timeouts.
• Examine reasons for paused onboarding cases.
• Communicate with suppliers and internal teams to gather additional information.
• Make recommendations on whether to continue or cancel onboarding.
• Document decisions and communicate outcomes to relevant parties.
• Assist in the preparation and distribution of recertification documents.
• Track the recertification status of suppliers.
• Communicate with suppliers to obtain necessary documentation and information.
• Update recertification records in the supplier database.
• Monitor and respond to queries in the Employee Center mailbox.
• Distribute relevant information to employees as needed.
• Maintain organization and documentation of email correspondence.
• Provide support for any issues related to the Employee Center and mailbox management.
• Accurate, timely reviewing and recording all third-party data within agreed SLAs.
• Support TPRM (Third Party Risk Management) teams.
• Escalate any areas of concern to the direct supervisor

Responsibilities (how we will measure success)

The successful incumbent will represent the first line of defense, with a focus on providing quality periodic review work on both clients and investors, supporting the Asia Pacific Team. The tasks will be completed in accordance with internal AML/CFT policies and procedures, as well as international and domestic AML/CFT regulations and guidelines. This role will be to support the Fund Administration and Corporate Services segments.

Tasks (what does the role do on a day-to-day basis)

Periodic Review

• Perform AML/KYC periodic reviews and drive remediation efforts on existing clients to ensure all gaps are closed and in accordance with applicable regulations.
• To support team members in conducting screening, review of due diligence documents including source of funds & wealth, and risk assessments within established timelines.
• To ensure KYC documents are up to date and properly recorded/refreshed.
• To provide independent recommendations to mitigate the identified risks across the existing client book where necessary, and/or be responsible for escalating the findings to the necessary stakeholders.
• To assist the wider cluster teams with managing client data and trackers to see through the completion of full client KYC lifecycles.
• To perform management reporting on key statistics and status updates in an efficient manner.
• To support wider department initiatives in terms of policy and system application.
• Be the point of contact for clients to collect due diligence documents in relation to periodic reviews and provide timely responses to the same.
• To act as a resource to the other departments and stakeholders where required.

The Manager, Service Management is responsible for establishing and overall management of the Service Management function for AECOM GBS with the responsibility of developing and maintaining Demand/Roadmap Management, Transition Management, Service Level Management and Document Management.
