Position: Property Manager
Working Hours: Monday to Friday, 9:00 AM to 5:00 PM EST (10:00 PM to 6:00 AM Philippine Time
Salary Range: $1500-2000 per month
About the role:
Candidate for this position must be extremely organized, methodical, diligent and have experience with Property Management and Leasing in New York City. This is a high-level position with a focus on administrative responsibilities. This person must be self-motivated, must have good judgment, common sense and be able to speak to tenants, vendors, attorneys, and ownership.
This position requires HUGE attention to detail. This person must respond to e-mails and phone calls at a rapid pace and be able to operate in an incredibly busy environment. We are looking for somebody who has a background with fair market leasing, rent stabilized leases, DocuSign, calendar invites, violations, maintaining organized electronic and physical files for tenant files and legal. We would like someone who is familiar with leasing procedures and overseeing all aspects of the move-in and move-out process. This person will be the tenant’s go-to person for all questions and concerns during their tenancy. This role encompasses many high-level administrative responsibilities not just limited to leasing.
Responsibilities:
Tenant Relations
- Maintain high customer service standards. Promptly respond to all resident requests within 24 hours during regular office hours from Monday-Friday, and work with residents and maintenance to minimize and resolve resident problems and complaints.
- Manage all work orders – from dispatching maintenance to completion of each work order, property manager must ensure all work orders are completed in a timely manner and that the resident is satisfied. Must be able to prioritize the urgency of work orders and requests, as well as follow up after completion.
- Must be reachable and responsive after office hours via email to help manage emergency building issues (this happens occasionally – i.e. if there’s a big storm).
- Communicate clearly and effectively with residents, other employees, vendors, supervisors and ownership in written and verbal form.
- Should have a basic understanding of rent charges, lease issues and other landlord-tenant matters.
- Distribute all building related community-issued notices (i.e., bad weather, emergency, access, notice of new ownership, new policies, etc.)
Leasing/Management
- Leasing – have a basic understanding residential and commercial leases.
- DHCR – must have an understanding of rules and requirements
- Coordinate and complete move-ins, move-outs, apartment turnovers in a timely fashion, management welcome packages
- Maximize resident renewals and manage the lease renewal program for fair market and stabilized tenants – maintain a lease renewal overview
- Leasing - work closely with the Legal Department concerning non-payment, eviction and collection cases
Administration
- Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificates of insurance.
- Ensure compliance with local laws, inspections, tests, etc. for each property.
- Coordinate building inspections, access for construction, etc. by obtaining permission to enter units
- Ensure all property management invoices are reviewed and either approved or sent back to the vendor for further clarification and/or changes
- Establishing and maintaining files and records, reports and systems needed to effectively manage the properties according to policies and procedures established by the company
- Manage property violations and work with specialists to remove violations
- Upon acquisition of a new property, need to contact tenants, transfer all utilities, collect all relevant information about the property and ensure all vendor contracts are in place
- Must have Real Estate Building managing experience.
- Must be able to work and multi-task in a fast-paced environment
- US experience strongly preferred
- Very strong organizational skills, physical and electronic filing management, prioritize critical deadlines
- Personable, understanding of client/customer service – be able to build rapport with tenants and work with a variety of personalities
- Well-versed in handling lease contracts and the leasing process (our leasing is in-house)
- Experience with Rent Stabilized Properties is a plus
