About you
As the Office Manager, you will be the linchpin of our daily operations, ensuring seamless coordination across various departments. You will play a vital role in supporting our human resources function, managing employee records, aiding in recruitment processes, planning company activities that help build a strong culture, and serving as a primary point of contact for staff inquiries. This role will help to maintain the company's operational efficiency by helping to manage administrative tasks such as scheduling for company executives and assisting with ad hoc tasks as needed.
As the organizational backbone of our team, your efforts in managing these essential tasks enable the rest of the team to focus on their core responsibilities. In this role, you directly contribute to the growth and success of our company, creating an environment that fosters efficiency and productivity.
Main Responsibilities
- HR: Managing employee records, kick-starting the recruitment processes, addressing staff inquiries, overseeing onboarding and offboarding, ensuring performance reviews are completed on time, maintaining the company handbook, overseeing benefits renewals and benefits management, overseeing compliance with state and federal regulations, and other general HR-related tasks
- Administrative Support: Manage daily administrative tasks including scheduling meetings, booking travel, buying gifts, maintaining records, and assisting with research/lead generation projects
- Communication Facilitation: Act as a point of contact between different teams and external partners.
- Document Management: Prepare, organize, and store documents and reports.
- Event Coordination: Help in organizing company virtual events and our bi-annual in-person retreats in different cities
- Research and Reporting: Research as needed and prepare reports on various topics relevant to business operations.
- Bachelorās degree in Business Administration, Human Resources, or a related field.
- At least 2 years of experience in human resources, preferably in a remote setting
- At least 2 years of experience in an administrative or assistant role, preferably in a remote setting
- Excellent Communication: Strong English both verbal and written communication skills.
- Human Resource: Previous experience working in HR completing similar tasks
- Organizational Prowess: Exceptional organizational and time-management skills with previous project management experience (we use Asana)
- Technological Proficiency: Proficiency in MS Office, Google Suite, and virtual communication tools.
- Problem-Solving Skills: Ability to solve problems creatively and effectively.
- Multitasking: Capable of managing multiple tasks with attention to detail.
- Cultural Sensitivity: Ability to work effectively in a multicultural, international remote work environment.
- Discretion and Confidentiality: Must maintain a high level of confidentiality.
