Your day-to-day responsibilities will include:

Payroll

• Executes payroll activities; ensures effective function, coordination of employee compensation activities and ensures compliance with established financial, legal and/or administrative requirements
• Prepares payroll related documents (e.g. requests for payments, 13th month pay, leave conversions, retirement plan transfers, payroll register, stop payments, worker’s compensation checks, etc.) for the purpose of documenting activities and issues; meeting compliance requirements, and providing audit references
• Prepares all payroll and manpower related reports for submission to Regional office
• Resolves discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing
• Compiles data (e.g. time sheets/payroll, salary adjustments, tax deposits, etc.) for the purpose of analyzing issues, ensuring compliance with mandated requirements, and/or monitoring program components
• Verifies a variety of payroll related information (e.g. time sheets, direct deposits, wage attachments, benefits, etc.) for the purpose of ensuring accurate distribution of funds and payroll
• Maintains a wide variety of payroll information, files and records in written and electronic formats for up-to-date reference and audit trail for compliance
• Leads in the preparation and submission of yearly Alphalist for BIR

General Administration

• Manages and maintains comprehensive administrative filing system including archival and storage inventories.
• Manages administration for third-party services and timely compliance to local and government requirements.
• Oversees Company premises (includes head office & branches) maintenance & security
• Assists in coordinating special events such Townhall Meeting, Employee Service Awards, Annual Dinner, etc.
• Undertakes other duties and exercise flexibility and undertake additional duties from time to time as assigned and agreed by line manager
• Assists in formation and review of human resource and employment strategies and policies
• Supports implementation of HR Strategy with a particular focus on supporting to achieve company targets
• Supports in the development and management of HR information systems and reporting mechanisms
• Population and maintenance of employee data for HRIS

Reporting directly to the Customer Support Director – Player Engagement. The Executive Assistant provides administrative support in a remote working relationship. The Executive Assistant serves as a liaison to the executive and senior management teams; organizes and coordinates internal and external relations efforts; and helps oversee special projects driven by the CS Director. The Executive Assistant must be flexible and enjoy working in an environment that is mission-driven, results-driven and customer and employee-friendly. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

This Executive Assistant must be adept at translating ambiguous narratives into clear actions, organizing meetings, managing schedules, and ensuring timely follow-ups. This role demands business maturity, exceptional coordination skills, and the capacity to handle multiple stakeholders.

• Other duties as required from time to time.

As a Legal Onboarding & Business Junior Officer you will:

• Assist the team with the coordination and preparation of fee proposals for Alternative Investment Funds investing in alternative asset classes e.g. real estate, private equity, debt, and infrastructure, as well as Corporate structures with the guidance of your line manager.
• Coordinate between various internal and external stakeholders, with the guidance of your line manager, to ensure a smooth onboarding process for clients until handover to the operational teams, including the following team duties:
  • AML/ KYC analysis, and driving our internal compliance approval process;
  • Bank account opening coordination;
  • Preparation, and coordinating the review, of service agreements;
  • Attend weekly calls with clients, as well as other key stakeholders;
  • Coordinating the review of legal documents for the structure setup;
  • Actively manage the communication between the client and all stakeholders; and
  • Track and perform all Luxembourg regulatory filings during the onboarding phase.

As a Legal Onboarding & Business Officer you will:
