The Executive Assistant will provide high-level administrative support to our company's senior-level managers. The Sales position is responsible for revenue generation from new and existing customers within event portfolio in Informa Markets Philippines. This role will manage Sales to different tier customers depending on the market and brand context.  This team is critical to the business, as the key to our success is retention, growth and cultivating new business.

The Sales role will involve a combination of internal and external sales activity, meeting customers face to face and attending competitor events. He/ She will sell to valued existing customers, generate new business, and performance will be evaluated based on achieving revenue and new business targets.

The Sales will be expected to develop their awareness of the brand industry, building greater insight over time. Maintaining and strengthening the relationship throughout the year is an important focus, to develop an understanding of the customers’ needs and expectations from their attendance at the event. He/ She will understand the customers’ needs and articulate a compelling value proposition as part of the sale. They will have a significant role in supporting re-booking of customers at an Event, while also providing support as a guest re-booker for other brands.

Job Responsibilities:

• Meet or exceed revenue target for assigned accounts through sales (digital, booth, sponsorship/ advertisement, and fully integrated packages)
• Sell to existing/ lapsed customer accounts with engaging conversations and compelling proposals while guiding them through buying process
• Prospect and close new business opportunities inside and outside of existing client base through cold calling and follow-up calling
• Leverage understanding of customer buying trends to help develop Sales plans and approaches
• Execute on assigned Sales campaigns, against accounts, products, and revenue targets, in line with sales plan
• Support the on-site re-booking of existing customer accounts, in line with at event account allocation and sales targets
• Maintain accurate pipeline, sales activity, and customer information within Salesforce (CRM system)
• Distribute customer insight and marketing information to marketing team
• Manage the handing over of sale information and customer requirements (via Salesforce) to the event Operations and Brand teams

Reporting to the Senior Finance Manager, the Finance Analyst will work together with the ASEAN Finance Team and Asia Shared Service Centre (SSC) to support the Philippines business by managing the day-to-day finance operations, delivering insightful timely analysis and other financial planning needs.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Responsible for submission of timely, accurate and commercially focused Budget, Forecast and 3 Year Planning for Philippines, in line with agreed templates and timetables.
• Identify and timely report risks and opportunities for the business by monitoring Sales Pacing and cost spending closely.
• Update commentary highlights concisely, anticipating potential questions and address them in advance with supporting analysis as appropriate.
• Provide Business Partner support to event team.
• Monthly P&L actual review and working with SSC for month end. This will include:
  • Ensure revenue and costs are recorded correctly, and intercompany billings are performed. Compliance in accordance with Group guidelines and timely release of accruals, if any.
  • Build necessary financial / management reports from appropriate systems for review and analysis purpose.
• Intercompany review for Philippines incl. agreements, invoicing, resolving mismatches and cash settlements.
• Review balance sheet and work with SSC to ensure balances are substantiated and preparation of cashflow.
• Handle local statutory compliance matters such as corporate secretarial, audit, and taxation.
• Ad hoc queries / requests from various stakeholders.

Overview:

Calendar Management:

o   Efficiently manage executive calendars, schedule appointments, and coordinate meetings, ensuring optimal time management.

Communication:

o   Act as a primary point of contact between executives and internal/external stakeholders. Draft, edit, and proofread emails, documents, and other correspondence.

Meeting Coordination:

o   Plan and organize virtual meetings, including setting up video calls, preparing agendas, and distributing relevant materials. Take meeting minutes and follow up on action items.

Travel Coordination:

o   Arrange travel itineraries, book accommodations, and manage logistics for business trips.

Task Prioritization:

o   Assist in prioritizing tasks and deadlines, ensuring that important matters are addressed promptly.

Data Management:

o   Maintain and organize files, documents, and databases in a secure and easily accessible manner.

Research:

o   Conduct research on various topics, compile information, and generate reports as needed.

Expense Management:

o   Track and manage expenses, prepare expense reports, and reconcile financial transactions.

Problem Solving:

o   Proactively identify and address potential issues, finding solutions to challenges that may arise.

Ad Hoc Support:

o   Provide additional support as needed, such as personal errands or special projects.
