We are looking for a Procurement and AP Assistant to provide back-office financial and accounting services for our Australian Client. This role’s focus is to support the finance leadership to deliver accurate and timely financial results to the client’s internal and external customers.

• Every week I share a list of 50-100 names to the VA, with some basic identifying information on each prospect, enough for the VA to get a start...
• The VA creates a folder structure to hold pdfs, photos, markdown files.
• The VA researches each prospect extensively, to include: full legal name, wealth indicators, residence, social media, background, education, professional employment, biography, family ties, political donations, charitable causes, civic causes, etc...
• The VA records this data into the markdown file (text file) inside the folder (I'll have very specific instructions to follow).  Simultaneously, the VA captures relevant pdfs of websites and other relevant information within the folder.
• The VA shares back the 50-100 prospect folders to me at the end of the week

Qualifications:

Key responsibilities include:

• Supporting Portfolio Leaders and Senior Bid Specialists in providing Winning Work services within allocated portfolios
• Championing the Aurecon Methodology from proposal planning until submission. This includes creating response templates, formatting, collating and proofreading proposals and related collaterals.

Minimum requirements:

• At least 1 year of relevant experience within a proposal or related environment; engineering and proposals management/coordination background/experience is a plus

Main Responsibilities

● Monitor, report, and act on company metrics (e.g. revenue, turnover, returns, shrinkage, business health, and more)

● Identify and head off problems before they multiply (e.g. customers are returning product Y 5x more than expected - what’s going on and what do we need to do about it?)

● Create, manage, and optimize pricing, photos, text, and advertising approach & budget to ensure appropriate inventory turnover.

● Pitching in whenever and wherever needed, as necessary

Skills Required:

• 1 year of experience as a Paralegal or Legal Assistant with an Australian law firm
• Experience using LEAP legal software or other similar tools preferred.
• Knowledge of the Australian legal system
• Proficient in MS Office, including Outlook and Excel

• Managing business matters through email communication with clients
• Interacting with clients - Serving as the primary contact person for clients, giving regular updates on case progress, addressing inquiries, and maintaining a professional and empathetic approach when working with individuals and families
• Draft cost disclosures with lawyers' approval
• Reviewing and organizing client files
• Providing backend administrative support
• Performing legal research - Conducting research on relevant legal matters, statutes, and regulations to assist attorneys in case preparation and strategy, while ensuring compliance with applicable laws and regulations
