You will be part of the Luxembourg Human Resources team of 8; you will be responsible for a wide and varied range of human resource activities with ownership for day-to-day operations and a lead role in managing employee relations. You have a key part to play in ensuring our people are equipped with best practice to foster a high performance, harmonious culture.

Tasks (what does the role do on a day-to-day basis)

• Provide first line advice to our people on all areas relating to the employment life cycle.
• Act an as escalation point to the HRBP and support with triage of HR queries and questions.
• Managing all the HR Ops processes including “Joiners / Leavers / Movers”, promotion, leaves & absences, ensuring the data quality and systems update.
• Liaise with public administration
• Maintain accurate and up-to-date employee information in HR systems.
• Participate in the implementation of specific projects, procedures, and guidelines to help deliver the HR strategy.
• Contribute to the continuous improvement of the HR function.
• Generate HR reports, metrics, and analytics to support data-driven decision-making.
• Analyse HR data and trends to identify opportunities for process improvements and strategic initiatives.
• Prepare standard and ad-hoc reports for HR and management stakeholders.
• Stay updated on relevant HR laws, regulations, and industry best practices.
• Assist in the development, implementation, and review of HR policies, procedures, and guidelines.
• Support HR audits and ensure compliance with internal and external requirements.

As an HR Specialist, you will be part of a team delivering an excellent HR service to the GCD Philippines Cluster. Within this role you will act as the first port of call to employees for all HR related queries, ensuring the needs of our people are being met.

Tasks (what does the role do on a day-to-day basis)

Payroll

• Prepare payroll instructions to be submitted to the payroll provider
• Calculate pro-rated salary for new hires, resigned employees, and employees on leave
• Ensure payroll computation is accurate including the deductions for statutory contributions, statutory loans, company loans, and HMO, if applicable
• Ensure payroll is released on time
• Calculate final pay of resigned employee and ensure that it is released within the timeline prescribed by law
• Ensure compliance with local payroll, wage, and hours laws, and best practices
• Coordinate with payroll service provider on issues affecting company payroll
• Ensure payroll-related concerns, queries and issues are resolved and responded promptly

Benefits Administration

• Manage timely administration and delivery of the day-to-day Benefits functions both company initiated and statutory
• Prepare funding request to Finance Department
• Prepare and coordinate with government offices on payments and posting of statutory contributions and loans.
• Facilitate company loan application and endorse to Finance and Payroll Teams for processing.
• Liaise with government offices in the submission and completion of employee benefit availment request.
• Prepare computation of Maternity and Sickness benefit as needed.
• Ensure employee benefits-related concerns, queries and issues are resolved and responded promptly.

Vendor Management

• Monitor and track contracts agreement.
• Ensure timely payment of billings and tracking of credit memos if any.

Position Description – Accounting Assistant

About the Role
As an Assistant Accountant in a fast-paced retail company backed by private equity, you will play a crucial role in supporting the finance and accounting team. You will work closely with the accounting team, assisting with various financial tasks, ensuring accurate financial records, and supporting the overall financial operations of the organization.

More specifically your responsibilities will include:

• Cash management including the process the bank reconciliations.
• General Ledger Maintenance: Assist in maintaining accurate and up-to-date general ledger entries, including journal entries, reconciliations, and adjusting entries as required.
• Payroll Processing: Take ownership of the weekly payroll process, ensuring accurate and timely processing of employee payroll. This includes reviewing timesheets, calculating wages, deductions, and overtime, and maintaining employee records related to payroll.
• Accounts Payable and Receivable: Support the accounts payable and accounts receivable functions by processing invoices through lightyear, verifying billing accuracy, preparing payment schedules, Tax and super payments , and managing vendor and customer inquiries.
• Financial Reporting: Assist in preparing financial statements, management reports, and other financial analyses to support decision-making processes. Collaborate with the accounting team to ensure timely and accurate reporting.
• Inventory Control: Work closely with the inventory management team to reconcile physical inventory counts with financial records, analyze variances, and contribute to inventory valuation processes.
• Expense Management: Assist in reviewing and reconciling employee expense reports, ensuring compliance with company policies and timely reimbursement.
• Financial System Support: Assist in maintaining and enhancing financial systems, including ERP software, by identifying opportunities for process improvement and troubleshooting issues.
• Compliance and Audit Support: Collaborate with external auditors, providing necessary documentation and support during yearly audits, ensuring adherence to internal/external financial controls and regulatory requirements.
• Ad-hoc Analysis: Support the Financial Controller, accounting team and Leadership team with ad-hoc financial analysis and projects, providing accurate and insightful information to aid in decision-making processes.

What you’ll need:

Reporting to the Financial Controller, this role is focusing on bookkeeping, accounting and payroll. You will need to demonstrate:

• Bachelor's degree in Accounting, Finance, or a related field. CPA Preferred but not essential
• Minimum of 2 years of experience in accounting or finance, preferably in a fast-paced retail environment.
• Strong understanding of financial reporting standards.
• Proficiency in accounting software (Xero) and Microsoft Excel (Advance); experience with other ERP systems is a plus.
• Experience with payroll processing software and knowledge of (Australian) payroll regulations and compliance.
• Excellent analytical skills with a keen attention to detail.
• Ability to work in a fast-paced and dynamic environment, managing multiple priorities and meeting deadlines.
• Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional and cross borders teams.
• Highly organized and proactive, demonstrating a strong work ethic and a willingness to take initiative to streamline processes.
• Familiarity with private equity ownership structures and related financial processes is an advantage.

Reporting directly to the Customer Support Director – Player Engagement. The Executive Assistant provides administrative support in a remote working relationship. The Executive Assistant serves as a liaison to the executive and senior management teams; organizes and coordinates internal and external relations efforts; and helps oversee special projects driven by the CS Director. The Executive Assistant must be flexible and enjoy working in an environment that is mission-driven, results-driven and customer and employee-friendly.
