Position : Executive Assistant

Work Hours : Flexible throughout the week but always available. Total hours will average 48 hours a week, and they will need to be available on weekends; in UK timezone.

Holidays : UK Holiday

Pay Range : $ 1,500 - 2,000 per month

Duties and Responsibilities:

• Conserves executives' time by reading, researching, and routing correspondence; drafting emails, letters, and documents; collecting and analyzing information; and initiating telecommunications.
• Manages complex and changing diaries, including scheduling, and negotiating appointments and meetings.
• Organizing associated and supporting documentation.
• Maintains executive's appointment schedule by planning and scheduling meetings, conferences, and teleconferences.
• Coordinates and supports effective meeting organization and management while collecting key and detailed minutes, tasks, and deliverables and distributing these accordingly.
• Prepares and oversees the delivery of Business performance reports by collecting and analysing information.
• Provides historical reference by developing and utilising filing and retrieval systems; recording and distributing meeting discussions.
• Maintains and oversees filing and file systems for recording and storing information in a meticulous and detailed manner.
• Contributes to all team efforts by accomplishing related results as needed. Bringing
• communication and structure to the Business is essential to the role of a personal assistant.

• Minimum 2 years of experience
• Good to Excellent written and communication skills;
• Tools:  Office 365, Sharepoint, Teams, Trello (big plus), or similar tools to Trello, and Excel.
• Capable of interfacing with numerous people at every level of the company.
• Experience with typing correspondences, including minutes, emails, letters, memos.
• Expertise in: Reporting Skills, Supply Management, Scheduling, Organization, and Time Management. Presentation Skills, Equipment Maintenance, and Travel Logistics.

Job Title: Executive Assistant

Salary Range: $800 - $1200 per month (DOE)

Working hours: Monday to Friday, Flexible; total of 40 hours/5 days a week;  Overlapping two hours between 3-5 PM EST

Join our dynamic team! We are seeking a skilled Executive Assistant to provide crucial support to our leadership team and contribute to the seamless operation of our organization.

Duties and Responsibilities:

● Help out with a variety of business / personal tasks. The scope would be purely administrative to start but could expand over time as familiarity/trust builds.

● Manage executive calendars, including scheduling meetings, conference calls, and appointments

● Coordinate travel arrangements, including booking flights, hotels, and ground transportation

● Prepare and distribute meeting agendas, take minutes, and organize necessary materials

● Screen and direct phone calls and emails, responding where appropriate

● Draft, proofread, and edit correspondence, reports, and other documents

● Assist with the preparation and organization of presentations and reports

● Conduct research on various topics and compile information into useful and organized formats

● Organize and maintain both digital and physical files and records

● Handle sensitive and confidential information with discretion and maintain strict confidentiality at

all times

● Anticipate and proactively address the needs of executives to ensure their time is maximized

effectively.

• At least 2 years of proven experience as an Executive Assistant or in a similar administrative role.
• Excellent organizational and time-management skills.
• Strong communication and interpersonal abilities.
• Proficient in office software (e.g., MS Office, Google Workspace).
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Detail-oriented with a proactive and problem-solving mindset.

The client is a multi-time CEO about to start a new company who needs an EA for typical CEO tasks including personal tasks.

• Email management - reviewing and managing the CEO's email,
• Calendar management; scheduling both professional and personal appointments -
• Manage bills
• Doing basic research

• Has at least five (5) years of relevant work experience
• Has excellent communication skills
• Proficient in Google, Mail, Calendar, and Spreadsheet
• Proficient in Notion is an advantage but not a requirement
• Strong organizational skills
