The HR Business Partner (HRBP) position is responsible for aligning business objectives with employees and management in designated business units of Arch Global Services (Philippines) Inc. The HRBP will be the main point of contact on all HR-related matters, including performance management, talent development, and employee relations. The HRBP will provide effective HR operational services and advice to business unit leaders, managers, and staff to support the delivery of organizational objectives and outcomes. The HRBP will be responsible for maintaining the employee records in the corporate HR system (Workday and PPH) 

Duties and Responsibilities: 

• Conducts regular meetings with respective Account Management and service Delivery Management leaders in assigned business units. 
• Provide hands-on daily support to the day-to-day business activities of the HR team. 
• Partners with leadership to align HR strategy to business strategy. 
• Consults with line management, providing HR guidance, recommend, and implementing changes as needed.

• Oversee and conduct new employee orientation, and other training, in HR-related areas. 
• Provide routine and complex HR policy guidance and interpretation. 
• Preparing and receiving required paperwork and documentation for employee changes (transfers, promotions, etc.) 
• Develops and prepares contract terms for new hires, promotions, transfers, and other documents reflecting employment changes. 
• Leads in undertaking the onboarding process for new hires. 
• In consultation with the General Counsel, maintains in-depth knowledge of legal requirements related to day-to-day management of employees, reducing legal risks and ensuring complete and timely regulatory compliance. 
• Provides day-to-day performance management guidance to line management (e.g., coaching, counseling, disciplinary actions), monitors and ensures that probationary reviews, annual performance, periodic, and performance improvement evaluations are timely undertaken and addressed. 
• Directly responsible for employee data management, including entry and update of employee information in the company’s HR Information Systems – Workday and PPH – and ensuring that employee data are timely, accurately entered, and properly maintained.  
• Provides guidance and input on business unit restructure, workforce, and succession planning. 
• In collaboration with the Learning and Development Team, identifies training needs for the employees under the designated business unit.  
• Participates in evaluation and monitoring of training programs to ensure success; follows up to ensure training objectives are met. 
• Leads the off-boarding process for voluntarily and involuntarily separated employees, ensuring that company and legal requirements and processes are followed and enforced. 
• Thorough understanding of AGSI’s operational hierarchy, jobs, qualifications, compensation practices, and the administrative practices related to those factors. 
• Performs other related duties as may be assigned by Management.    

Your job duties include the following tasks and responsibilities:  

• Assist in preparing support letters, visa applications and collect documents required to file work permits and visas.  

• Provide supporting documents and letter of support to third party PEOs we hire in various countries to support our team member mobility.  

• Perform performance appraisals and update records & issue contracts for team members. 

• Setup and organize team building events. 

• Perform orientations, onboarding, and update Human resource system with new hires. 

• Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates, etc.) in the HR System and ensure compliance requirements are met;    

• Coordinate training sessions and seminars. 

• Handle HR-related inquiries or requests and resolve members’ concerns, and respond to requests for help, certifications 

• Produce and submit reports on general HR activity including attrition data.

• Handle terminations and exit formalities.

The Executive Assistant is responsible for providing administrative support to one or more executives, performing day-to-day tasks such as coordinating diaries, preparing materials for meetings, organizing and managing data, and serving as a liaison with other departments. A valuable asset to the executive team, the Executive Assistant is expected to communicate effectively, display a strong sense of professionalism, resourcefulness, and the highest degree of confidentiality.

• Closely coordinate with the executives in maintaining their diaries. This should be aligned to the executive's preferences, priorities, leniencies, and limits, to create a proper balance between commitments.
• To work closely with the executive in terms of structuring and proper prioritization of the day-to-day administrative activities including key events, travel plans, and other action items.
• Create and maintain reports, spreadsheets, distribution lists, email groups, and other necessary documents and database in response to and in anticipation of executive's needs
• Able to arrange domestic and international travels (Airline, Hotel, Car Rentals, Train Tickets)
• Practice collaboration with all levels within the company, develop effective networks with peers as well as external professional groups
• Practice confidentiality and maintain high standards of business ethics, ensuring strict compliance with company policies
• Prepare and coordinate presentations
• Assist in the staging of virtual and in-person events
• Able to oversee correspondences for the executive by identifying important emails and sorting based on priorities by assigning some rules
• Prepare and submit Executive’s expense reports aligned with service level agreements

• Process purchase requests, purchase orders, invoice coding, vendor setup, and conduct accounts payable coordination
• Maintains and organizes documents in Sharepoint and Teams databases for stakeholders, including tasks such as saving, organizing, and creating folders for efficient document repository management.
• Assist in office activities such as Friday night events, birthdays, and other office activities needing support that can be done remotely.
• Relies on experience and judgment to plan and accomplish more complicated goals. Completes tasks independently and receives guidance on new assignments or atypical matters.

• Establishes and maintains rapport with clients, prior to, during and post-conference, exceeding their expectations and encouraging repeat business. 
• Ensures that function bookings, group resumes, contracts, event orders, etc are prepared and distributed accurately and efficiently to ensure operational success. 
• Drives function space optimization/maximization, to ensure the best utilization of space for guest experience and financial performance of the department.

• Assist the Executive Chef in the operation and administration, and has overall responsibility in the absence of the Executive Chef in planning, organizing, and managing all activities within the Food preparation areas.
• Participates in the strategic planning and ongoing development of the hotel, ensuring the delivery of our environment commitments, and overseeing the health, safety and security of our guests and colleagues.
• Demonstrates to guests and colleagues a commitment to service excellence through the effective implementation and delivery of Raffles and Fairmont Hotels & Resorts Core Standards.
