About the job:
The role is responsible for successfully coordinating all activities related to Client/Staffing Assistant schedules and staffing open shifts. They are also responsible for spending part of their time conducting Staffing assistant interviews and assisting HR Coordinator with Staffing Assistant activities.
During the on-call periods in the evening, the role would be responsible for answering incoming phone calls, handling issues with our employees who are on shifts, as well as doing file-audits. During normal business hours, the role would be answering phones (along with our team), staffing shifts, performing HR interviews, etc.
Duties and responsibilities:
- Answer incoming calls in a professional, friendly, and knowledgeable manner
- Create and maintain client and Staffing assistant schedules with an emphasis on creating high-quality matches and the development of extraordinary relationships.
- Monitor, mediate, and log all client and Staffing assistant activity utilizing the software system.
- Follow up with all client and Staffing Assistant issues to ensure their problems are resolved.Â
- Enter and maintain accurate client and Staffing assistant records in the software system.
- Follow up and communicate Staffing assistant and client issues to ensure problems are resolved. Â
- Recognize and capture opportunities to increase service hours to enhance and/or increase quality care.Â
- Staffing on-call after-hours On-Call Coordinator – holidays split up and a regular rotation of every other Thursday.
- Assist the Service Manager in monitoring all Staffing assistants overtime.
- Work to have recurring schedules for all clients to limit the number of Staffing Assistants going and to give consistency to clients and Staffing Assistants with their hours.
- Document all staffing, overtime, clock-in/out issues, scheduling changes, etc. in ClearCare.
- Have monthly One to One meetings with Service Manager
Minimum Requirements:
- Must have at least 3-5 years of experience in a similar field/ role.
- Experience handling employee schedule and concerns is nice to have
- A high level of English language customer service (phone and email) is very important.
- Proficiency in Microsoft Teams & Outlook is required
- Any experience with the software Wellsky (formally ClearCare) would be great, but not required
- Familiarity with Ring Central (phone system) is a plus but not mandatory.
- Must demonstrate excellent oral and written communication skills and the ability to listen effectively.
- MS Office Application experience
