About the job:
Role: Executive Assistant
Work schedule: Full Time | 40 hours per week | Monday to Friday, 9 AM to 6 PM Pacific Time
Salary Range: up to US $1,500 per month (Dependent on your skills and experience)
About the Role:
As the Executive Assistant, you will provide high-level support to the CEO while taking on critical operational and project management responsibilities. Your role will include managing the CEO’s schedule, generating and following up on leads, overseeing backend operations, and supporting strategic initiatives. You'll also handle internal and external communications, market research, and the preparation of key reports to facilitate decision-making.
Duties and Responsibilities:
- Executive support to the CEO, including calendar management, scheduling meetings, and coordinating appointments.
- Lead generation and follow-up based on ICP traits defined by the CEO.
- Project management support: assisting in the planning and execution of strategic initiatives.
- Operations management: overseeing backend administrative tasks, event coordination, and document preparation.
- Research and reporting: Conducting market research, creating presentations, and providing data for decision-making.
- Communication management: Drafting emails, coordinating with partners, and managing internal communications.
Immediate tasks anticipated for the candidate to fully own on week 1:
- Onboarding and training sessions with the CEO.
- Understanding the company’s business processes and tools.
- Taking full ownership of calendar management and appointment scheduling.
- Initiating and owning follow-up sequences on all communication channels.
- Preparing action points for each lead/contact.
- Proven experience as an Executive Assistant, working in a fast-paced environment, demonstrating the ability to adapt quickly to changing priorities.
- Tech-savvy, with proficiency in relevant software and tools, including: Slack, HubSpot, Google Workspace, Trello/Asana, Zoom
- Exceptional written and verbal communication skills, with the ability to draft clear and professional correspondence.
- Highly proactive and organized, with a strong attention to detail.
- Excellent time management skills, capable of handling multiple tasks and deadlines efficiently.
