Summary Description

Responsible for all accounting-related activities, including managerial accounting, high level accounting and finance activities of the company. Ensures the company follows all reporting guidelines and procedures as well as tax compliance.

Key Responsibilities

Finance:

• Manage all accounting operations including Billing, A/R, A/P, GL, and Counsel, Cost Accounting, Inventory Accounting and Revenue Recognition.
• Coordinate and direct the preparation of the budget and financial forecasts and report variances.
• Prepare and publish timely monthly financial statements.
• Coordinate the preparation of regulatory reporting.
• Support month-end and year-end close process.
• Ensure quality control over financial transactions and financial reporting.
• Develop and document business processes and accounting policies to maintain and strengthen internal controls.
• Maintain internal safeguards for revenue receipts, costs, and team and organizational budgets and actual expenditures.
• In coordination with Regional Controller, establish financial and operating benchmarks, budgets, program monitoring, and reporting standards on bi-weekly, monthly and annual basis.

Tax Compliance:

• Develop the organization's tax compliance program to ensure all internal practices adhere to applicable laws, regulations and policies.
• Review and submission of reportorial requirements to the BIR and other regulatory agencies.
• Application of tax treaty reliefs and residency certificates to preferential tax availments.
• Review of Transfer Pricing Documentation (TPD) in coordination with external accounting firm.
• Overall management of tax accounting, corporate tax reporting, and coordination with the branch document controller for document archiving.
• Inspect legal means of reducing tax liability and analyze income tax deductions.
• Participate in the creation and implementation of the organization's tax strategy and guidelines.
• Managers and ensures company's use and compliance with tax incentives with PEZA and its regulations.
• Leads major tax-relevant projects/initiatives.
• Act as the company's representative for BIR meetings regarding tax audit and other related tax issues.

Tax Audits/Cases/Refunds:

• Management and coordination with external legal consultants for the efficient closure of BIR tax audits and local tax inspections and investigation, including cases pending with the courts.
• Responsible for overall management of VAT refunds with the BIR.
• Responsible for official correspondences with the tax authorities and regulatory agencies in matters of tax compliance and registrations/accreditations of the Company.

Tax Planning and Support/Risk Management:

• Conduct research and study on tax minimization and tax efficiency initiatives and management of any tax exposure of the company.
• Provides tax update, advisories and tax trainings for the employees.

Compliance:

• Review company internal controls, specifically the Financial Process Control Documentation.
• Promote compliance in diligently following all company policies and regulations and in being the role model of integrity and pride for all employees.
• Proactively communicate with the team to ensure continuous awareness and understanding of policies and regulations.
• Maintain a positive relationship with the Trade Compliance Manager and support all compliance efforts and trainings.

Catalog & Direct Mail Budget & Expenses

• Creates cost forecast and ensure accuracy of expense metric.
• Manages expense metric, flags issues, and makes recommendations to pivot or preserve expense metric when applicable.
• Works with Marketing Leads on Revenue Build-Up, create vectors and projections as needed.
• Tracks invoices, provides summary of costs and COGS.
• Approves invoices and submits to Accounting.
• Sends postage estimate to Finance for payment.

Catalog & Direct Mail Operations

• Manages & executes day-to-day catalog & direct mail operations
• Leads weekly catalog meetings.
• Manages meeting agenda and follow up action items.
• Takes and distributes meeting notes to the team.
• Point person for questions and giving updates to cross-functional partners.
• Daily point person for all vendors.

Catalog & Direct Mail Data Management, Reporting, & Analysis

• Business Data
  • Ensures data from the Data Insights team is delivered on time and accurately.
  • Analyzes data including A/B tests, draws conclusions, and shares with the broader team.
  • Builds performance reports and presents business reviews.
  • Creates discount analysis for planning and analysis.
  • Competitive Analysis: Summarizes Belardi trends for team meetings and as needed.
• Vendor Data
  • Ensures accuracy of FTP Connection.
  • Sends hotlines, requests, and suppression files to various vendors.
  • Sends coupon codes to CCC.
  • Sends order data to Postie and other vendors as needed.
  • Sets up matchback file format and business rules.

Vendor Management & Communications

• Main point person for all vendors and other external partners.
• Set up meetings if needed.
• Manages agenda, takes, and distributes notes to team.

Position: Operations Manager for Venture Capital (VC) Fund
Salary Range: $1,500/month
Schedule: Monday to Friday, 2 - 10 PM Manila Time

About the role:

We are seeking a highly organized and professional Remote Operations Manager to support our General Partners (GPs). This role requires exceptional coordination skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate should be based in the Philippines, with a deep understanding of U.S. business practices and a passion for the gaming sector. The role would interface primarily with Europe, but liaise with the Managing Director in the United States as well. 

Responsibilities:

1. Information Management: Assist in gathering and managing sensitive financial, personal, and tax information for our Director of Finance and business partners. Ensure strict confidentiality and compliance with all relevant regulations.
2. Cross-Team Initiative Management: Define, track, and drive cross-team initiatives from inception to completion. Collaborate with different departments to ensure alignment with overall strategic goals.
3. Meeting Coordination: Facilitate the scheduling and organization of meetings for GPs with external parties and internal team members. Ensure smooth communication and efficient time management.
4. Administrative Support: Provide general administrative support to GPs, including document preparation, report generation, and other tasks as required.
5. Event Planning and Execution: Lead the planning, organization, and execution of conferences, summits, and other events. This includes venue selection, vendor management, itinerary planning, and on-site coordination.

• Bachelor’s degree in Business Administration, Project Management, or a related field.
• Minimum of 3 years of experience in operations or project management, preferably in venture capital or finance
• Excellent written and verbal communication skills in English.
• Strong organizational and multitasking abilities.
• Proficiency with Google Workplace, Microsoft Office and other productivity tools.
• Knowledge of U.S. business practices and sensitivity to cultural differences.
• Ability to handle confidential information with the utmost discretion.
• Passionate about the gaming industry. (highly preferred!)
