Job Title: Real Estate Virtual Assistant and Client Relations Specialist

Schedule: Flexible (total of 40 hours/ week)

Salary Range: $800/month - $1500/month



Job Description:

As a Real Estate Virtual Assistant and Client Relations Specialist, you will play a pivotal role in ensuring the satisfaction and retention of our existing customers while also assisting potential customers in understanding and navigating our services. You will be responsible for managing support emails, handling inbound calls, and providing top-notch assistance through our CRM system.

Key Responsibilities:

Email and Phone Support: Manage and respond to support emails promptly and efficiently. Handle inbound calls via our CRM, addressing customer inquiries, and professionally providing solutions.

Customer Interaction: Build and maintain positive relationships with existing parkers. Address their concerns, provide information, and ensure a high level of customer satisfaction.

New Inquiry Handling: Engage with new inquiries, explain our services, and assist in the onboarding process. Guide potential customers through our offerings to meet their needs.

Issue Resolution: Work to resolve customer issues, troubleshoot problems, and escalate complex cases to higher levels of support as necessary.

Documentation: Maintain accurate and detailed records of customer interactions, feedback, and resolutions in the CRM system.

Serve as the primary point of contact for current and prospective residents.

Additional Responsibilities:

Provide virtual support on various items, including maintenance requests, signing leases, scheduling showings, conveying pricing, and following up on events.

Follow-up with residents of delinquency accounts.

Execute paperwork, including leases, lease amendments contracts (property level), lease renewals, etc.

Communicate important announcements and notices to residents across different channels.

Act as an administrative assistant to the operations manager to help manage residents, vendors, and in-house tasks.

General office management (office supply orders, maintenance requests, scheduling couriers, etc.).

Manage monthly asset management fees for all assets/entities.

Prepare monthly executive and employee expense reports, receipt filings, and data uploads.

Coordinate with legal counsel for annual shareholder/partnership resolutions and filings.

Perform market research.

Manage contact lists.

Calendar and appointment management as needed.

Prepare tasks and reminders for the team and follow up as needed.

Assist residents with processing rent payments.

Qualifications:

Ability to analyze and resolve customer issues effectively and efficiently.

Comfortable using CRM systems and other customer support tools.

Ability to prioritize tasks and manage time effectively to meet service-level agreements.

Ability to adapt to changing processes and procedures in a dynamic work environment.

Proven experience as a Client Relations Specialist.

Knowledge of customer relationship management (CRM) practices.

Qualifications:

• Should have completed Bachelor's degree or at least two (2) years in college/vocational/short course certificate
• Must have proven experience in Sales, Cold calling, and Appointment Setting
• Proficient in using CRM and telephony software

The Tax Compliance Specialist is responsible for carrying out a range of tax and compliance functions, meticulously adhering to government regulations and aligning with company policies and procedures. The primary objective of these activities is to guarantee the timely completion of tasks related to taxation and compliance matters. This role involves a thorough understanding of applicable regulations, attention to detail, and a commitment to upholding organizational policies, all aimed at ensuring that tax-related responsibilities are executed efficiently and in compliance with the established timelines.

A. LOCAL AND NATIONAL TAX APPLICATION AND PAYMENTS

• Prepare and ensure the timely filing and e-payment of BIR Returns.
• Prepare the sales allocation for business permit renewals. This involves conducting a reconciliation of declared sales with sales recorded in the company's books.
• Review the computation of Local Business Tax due.
• Prepare, review, and file advance VAT on milling wheat.
• Prepare and file applications for BIR Permits, including, but not limited to, authority to print and permit to use loose-leaf, certificate of deductibility for obsolete inventories and others
• File applications for Branch Registration and Information Update (e.g., new line of business or change of business address).

B. TAX AUDIT

• Provide audit requirements, schedules, and reconciliations requested by the BIR or Local Tax Authority.
• Maintain close coordination with assessors to ensure the closure of the audit.
• Prepare replies to Letter Notices. 
• Provide requirements, schedules, and reconciliations for regular internal tax reviews. Coordinate with auditors and ensure compliance with their recommendations for procedural improvements.

C. PROCESSES AND IMPROVEMENTS

• In the case of innovative projects, communicate with the BIR, LGUs, and other relevant government agencies in coordination with the AEV TACS Team.
• Research and analyze local and national tax laws applicable to the company’s business nature.
• Regularly update on memoranda and issuances issued by the BIR for new Tax Rules and Regulations. Conduct a study on the impact/applicability of new issuances to the company.
• Prepare guidelines for compliance with Tax Rules and Regulations.
• Evaluate and assess tax issues.
• Assist in strategizing and planning for tax savings for the company.
• Secure opinions of AEV TACS and provide feedback on tax queries from other departments/partners.
• Continuously update learnings by attending seminars or conventions pertaining to tax updates and other self-development training.
• Provide tax awareness through tax cascades. D. Other Tasks:
• In Charge of safekeeping of BIR documents and uploading of returns and reports in the Storage and Retention System
• Performs other tasks as may be assigned by the team leader.
