PRIMARY RESPONSIBILITIES

• Responsible for over-all coordination of the certification process of client companies in support to the division in the area of documents, materials, package and invoice preparation and file/database maintenance.

Specific Responsibilities   

AUDIT SCHEDULING

• Sends & follow-up audit schedule to the client 3 months in advance following Knowledge GSP/GPP and the ISO 17021
  • Audit schedule is already firmed up 3 months prior audit execution.
  • Zero movement on the confirmed schedule without valid reason

AUDIT ITINERARY

• Sends audit itinerary to the client at least 2 weeks prior audit execution
  • Audit itinerary is compliant with Knowledge policy

AUDIT LOGISTICS

• Coordinates and make the necessary arrangements (flight booking, transportation, & other travel requirements for on-site jobs)
  • Audit logistics should be made clear & coordinated in a timely manner

• Coordinates with the auditor their confirmed schedule, including the presence of Technical Expert and/ or Observers/ Auditor-under-supervision during the conduct of the audit
  • Information should be accurate to both the auditor, the technical expert, and /or Observers

AUDIT PACKAGE PREPARATION

• Prepares and transmit to the audit team the audit package following GSP/GPP for auditor’s
  • Correct & Complete audit package

INVOICING (in coordination with the GBS Invoicing Team)

• Ensure that all billable jobs for the next 3 months are readily available in the Invoice Monitoring to identify the revenue projection for the succeeding months
• Prepares & sends audit invoice to the client during the 1st week of each month with clear emphasis that collection shall be made during the 1st day of the audit
  • Payment shall be received from the client 100% during the first day of the audit
  • DSO is achieved.
• Reimbursable expenses shall be invoiced after the audit and apply 10% administrative fee following new rule of FIN-DIV.
  • 100% invoicing of reimbursable expenses shall be made within the month
• Collate, prepare and submit the weekly and monthly revenue reports including revenue accruals, deferrals and expenses
  • Timely and accurate reporting

AUDIT PACKAGE CHECKING

• Follow-up with relevant auditor and checks completeness of the audit package 1 week after the conduct of the audit and submits the same for technical review (if applicable)
  • On time submission and complete audit packages

AUDIT CERTIFICATE PREPARATION AND ISSUANCE

• Prepares Certificate following GSPP/GPP for approval of the Division Manager. Issuance of certificate shall only takes place once client is confirmed paid on all services provided by SGS Kn.
  • Issuance of Certificate shall not exceed 2 months from the last day of full compliance of the client in the certification process.

REGULAR DUTIES

• Identify and plan all activities - audits, and any other activities, that are due for scheduling across all sectors of Knowledge Solutions
• Send audit schedule notifications 90 days in advance, and confirmed within 45 days before the actual audit date
• Collaborate with the entire Kn key personnel to ensure that the YTD revenue is achieved by Kn
• Ensure that the audits activities are booked and allocated in the system and is consistent with the client’s Scope of Certification (chosen management system standard(s), the client’s industry sector, technical area(s), products and processes)

Responsibilities:

• Attention to Detail

• The Business Operations member must be detail-oriented, ensuring that any errors or discrepancies are caught and raised or resolved. Self-checking their work is important, as is raising any data input or processing concerns (e.g. “bad data” or “report seems off”).

• Organized, Proactive, and Persistent

• With multiple projects coming from multiple teams, the Business Operations team member needs to be organized with data stored efficiently and clearly.  Communications need to be clear and to the point, and if any issues arise or if data or reporting seems broken or missing, communications to that effect should be prompt so that the problem can be resolved. Problems or issues must be pursued to closure rather than left to linger.
• Seek Help or Clarity Rather than “Getting Stuck”
• If and when issues arise or requested data does not appear, the Business Operations member should escalate in a timely manner to project leads and partners. While some degree of self-reliance is important, many problems will require multiple parties to solve, so best to air the problem early and allow management to bring in the right resources to drive resolution.

• Flexibility

• The team member needs to be able to flex between different departments and fulfill different responsibilities, including:
• Support on marketing & sales requests (PPT, website language, blog drafts)
• Support on finance requests (data entry, minor tweaks in Excel models, recording notes of changes)
• Support on product requests (transcribing product release notes)

• At least 2-3 years of experience working in a business operations function.
• Strong proficiency with online applications (e.g. LinkedIn, Dropbox, etc.), and Microsoft Office / Google Suite applications (e.g. Excel, Word, PowerPoint; Google Sheets, Docs, Drive, Slides).  In particular, strong spreadsheet skills to validate data and work with tools such as pivot tables as needed
• Solid English language and good communication skills - able to raise issues and summarize status clearly and effectively in digital communications (e.g. Email, Slack, Jira tickets)
• Detail-oriented - precision and accuracy are critical
• Able to handle multiple priorities and perform under time constraints as needed
• Ability to work in the US - Mountain time zone

• Experience with customs declaration systems (e.g. VNACCS/VICS)
• Proficiency in Microsoft Office
• Excellent communication and interpersonal skills
• Strong analytical and problem-solving abilities
• Fluency in English
• Ability to work under pressure and meet deadlines
• Account management experience or knowledge of the fashion industry is a plus
• Team-oriented mindset

Duties and Responsibilities:

Proposal Writing:

• Collaborate with the sales team to create compelling and tailored proposals for clients.
• Ensure that proposals align with company standards, address client needs, and showcase the value proposition effectively.
• Continuously improve proposal templates and content based on feedback and industry best practices.

Managing Sales Timelines:

• Develop and maintain a comprehensive schedule for all sales activities, ensuring timely execution of each stage in the sales process.
• Work closely with the sales team to set realistic timelines and identify potential bottlenecks.
• Monitor and report on progress against timelines, making adjustments as necessary.

HubSpot Management:

• Administer and optimize the use of HubSpot as our CRM tool to streamline sales processes.

• Implement HubSpot best practices to enhance data accuracy and improve overall sales efficiency.

Commercial Contract Controls:

• Oversee the creation, review, and execution of commercial contracts in collaboration with legal and sales teams.
• Ensure compliance with company policies and legal requirements in all contracts.
• Implement controls to track contract milestones, renewals, and amendments.

Sales Process Best Practices:

• Identify and implement best practices for the entire sales process, from lead generation to closing deals.
• Regularly assess and update sales processes to align with industry trends and emerging technologies.
• Provide training to the sales team on new and improved processes.

Accounts Receivable Tracking:

• Collaborate with the finance team to monitor and track accounts receivable, ensuring timely and accurate payments from new clients.

• Bachelor's degree in Business Administration or a related field.
• Proven experience in Sales Operations or a similar role.
• Strong written and verbal communication skills.
• Proficiency in CRM software, especially HubSpot.
• Familiarity with commercial contract management.

Ideal/Nice To Have/Preferred:

• Experience in the water industry, ideally in water/wastewater treatment.
• Experience working for a SaaS startup.
