Position: Finance and Operations Specialist

Working Hours: Flexible with at least 2-3 hours of overlap with PST (office hours)

Salary Range:  USD 1,250/month

Tasks:

1. Process Incoming Purchase Orders: Ensure information on the purchase order is accurate, information is up to date, and certain ordering requirements are met. Work with customers to correct any erroneous invoices, and answer any questions they may have.

2. Accounts Receivable Management: Assist with invoicing, payment tracking, and follow up on outstanding invoices.

3. Accounts Payable Management: Help process vendor invoices and ensure they are paid on time.

4. Bill Verification: Verify the authenticity and accuracy of each bill, such as the amount, date, vendor information, and matching it against purchase orders, contracts, promotions, 3rd party agreements, and sales data. Ensure that the goods or services billed were actually received and meet the agreed-upon terms. Communicate with internal and external parties to

gather information required to verify bills, or rectify errors.

5. Managing Approval Flow: Submit bills to the appropriate individuals for approval. Follow up on pending approvals to ensure that payments are processed in a timely manner.

6. Documentation and Record Keeping: Keep organized records of all transactions, agreements, bills, approvals, and communications related to business transactions.

7. Query Handling: Answer any queries regarding the bills from both internal and external parties.

8. Inventory Maintenance: Conduct regular inventory audits to ensure the reported inventory from warehouse suppliers matches our internal numbers. Investigate and rectify any discrepancies. Implement measures to prevent future discrepancies.

9. Logistics Coordination: Assist with logistics and shipping arrangements for outgoing orders and incoming supplies. Ensure timely delivery of products to customers and receipt of ingredients from suppliers. Coordinate with logistics partners to resolve any issues.

The successful candidate will be part of a team of Demurrage and Post Deal Expense claim professionals in Manila. The team will provide Demurrage and Post deal claim analysis, defence, pursuit, advise and settlement on behalf of companies within the North American business, such as STUSCO, SOPUS and Shell Trading Canada.

Accountabilities

• Manage a claims portfolio while setting daily prioritizations

• Proactively calculate and negotiate claims with the intent of minimizing claim exposure to Shell entities; send recovery claims prior to time bar date (last date for submission)

• Investigate the events of a voyage, deviations from the initial agreement and check what was contractually agreed

• Investigate the operations at load/ discharge port(s) and review contract and other agreements and check what was contractually agreed

A SNAPSHOT OF YOUR ROLE

• Oversight of call centre performance with key focus on collection targets and reducing delinquency on a receivables portfolio of over $50m
• Coaching and mentoring Team Leaders reporting to the role, with an emphasis on facilitating their development and their ability to generate improvements in team quality, efficiency and effectiveness
• Modelling and actively promoting a culture of innovation, challenging the status quo to ensure the business continues to grow and evolve
• Effectively leading the team with a collaborative approach that promotes team synergy and improves staff engagement
• Overseeing operational systems and processes, while actively seeking opportunities for innovation to drive achievement of business objectives
• Anticipating and tracking operational risks and trends to provide strategic solutions, optimising processes and their execution
• Raising and addressing issues and conflicts, removing barriers, resolving issues of medium complexity involving stakeholders and escalating to appropriate level when required
• Managing day to day operations within the Collections department, including recruitment, training, development, engagement, retention, performance of the team, and any changes to the operating model as required
• Effectively managing budgets and resource schedules
• Together with AU leadership, playing a significant role in long-term planning, project status reporting, and effectively driving change management and process improvement initiatives
• Completing reasonability testing and information validation prior to circulating findings and recommendations to key stakeholders
• Working closely with the management team to ensure all operational, administrative, and regulatory/compliance functions are being properly executed
• Seeking and responding to feedback with prompt and appropriate actions to deliver improvement
• Collaborating with team members and stakeholders to ensure seamless business execution, reinforcing positive morale, and upholding company values
• Overseeing and reporting weekly, monthly, quarterly, and annual metrics, providing thorough analysis and subsequent action planning
• Establishing and maintaining strong stakeholder relationships, and acting as point of contact for IT, BI, CC&OE, HR and other support functions

• Strong leadership and influencing skills, with demonstrated experience in developing and leading high performing teams
• Minimum 5 years’ management experience, running a critical business function with multiple teams, products and operating requirements. Process transformation experience is required.

Duties and Responsibilities

Customer Interaction and Support:

• Respond to customer queries via phone, email, or chat promptly and accurately.
• Identify and assist customers with specific needs.
• Handle complaints regarding unfulfilled orders professionally.
• Provide alternative options for out-of-stock or discontinued items.

Order Processing and Management:

• Efficiently process orders and distribute receipts.
• Accurately input orders into the database in a timely manner.
• Ensure Sales Targets are met by delivering orders on time and complete for assigned accounts.
• Encode and process Sales Orders details accurately in SAP, including picklist and delivery receipts.
• Timely resolve issues related to order fulfillment and customer service.

Inventory and Reporting:

• Monitor inventory and provide alternative options for out-of-stock or discontinued items.
• Prepare invoices, shipping documents, and order reports for management.
• Submit reports on time and fulfill other operational and business requirements.

Sales Support and Communication:

• Provide salespeople with trends reports and necessary information.
• Maintain efficient communication regarding order fulfillment and customer issues.
