Role: Operations Associate
Work schedule:Â Full Time | 40 hours per week | Monday to Friday, 9 AM to 5 PM Pacific Time
Salary Range:Â up to US $1,700 per month (Dependent on your skills and experience)
About the Role:
The Operations Associate plays a key role in providing comprehensive support across multiple business functions, ensuring smooth operations, and enhancing productivity. This role is divided into three core areas: administrative support, operational/project management, and sales/CRM assistance. The ideal candidate is organized, detail-oriented, and able to handle various tasks across departments with professionalism and efficiency.
Duties and Responsibilities:
- Tier 1: General Administrative Support
- Organize and manage calendars, schedule meetings, and ensure timely communication across the team and with external stakeholders.
- Tier 2: Operational and Project Management Support
- Maintain and manage data, processes, and systems for operational efficiency, providing cross-functional support as needed.
- Assist in the research, planning, and execution of webinar series and online conferences, ensuring attention to detail and personalized touches throughout.
- Handle pre-programming tasks, manage RSVPs, and create contingency plans for participants.
- Conduct background research for podcasts and prepare materials for smooth execution.
- Tier 3: Sales and CRM Support
- Provide backend support for sales operations, including CRM management and updates.
- Facilitate polite and effective communication with leads and connections to foster positive engagement and potential business opportunities.
- Proven experience as an Operations Associate in the podcasting industry, with strong organizational skills and meticulous attention to detail.
- Proficient in Slack, Zoom, and email; experienced with WordPress, Squarespace, Zapier, Streamyard, and LinkedIn.
- Familiar with CRM tools (Zoho) and experienced in managing webinars and virtual courses via Zoom for sales and event support.
- Quick learner with the ability to work independently and manage multiple tasks efficiently.
- Agile, adaptable, and tech-savvy, with strong problem-solving skills across departments.
- Collaborative team player with excellent communication, interpersonal skills, and a proactive attitude.
