JOB SUMMARY:
The Admin Specialist is responsible for ensuring that company contracts monitored, in place and compliance to contract requirements. She is also responsible in obtaining, monitoring, and maintaining the permits and licenses of the company. Managing the Tools of Trade of employees and documents management of company vehicles including issuance of Deed of Absolute Sale for the transfer of ownership to the assignees and/or buyers. Providing effective and efficient Administrative and logistical support to Aboitiz Foods employees. Also do secretarial works and logistical support to some Executives.

DUTIES AND RESPONSIBILITIES:

REGULATORY AND COMPLIANCE

Updates, maintains information and ensures timely registrations or renewals with the appropriate government agencies of the following company properties and permits:

• Company Vehicles
• Real Properties
• Business Permits
• Other Company Permits and Licenses under Administration
• Processing of the closure of Business Permit of Branch, Depot or Warehouse

Renewal of Permits

1. Accomplished all forms (notarized)
2. Monitor, coordinate with other concerned dept.
3. Coordinate with LGU Agencies
4. Ensure on time renewal of permits
5. Preparation of the order of payment

Permits for new Projects

1. Act as Liaison Officer for the processing of Building Permit, Occupancy Permit, Fire Safety Certificate and Municipal Business Permit

Ensures that all the necessary documents and permits are current during Audit both Internal and External Audit like Business Permits, Sanitary permits, Bureau of Fire Certificate, and others.

CONTRACT MANAGEMENT

Process renewal of Admin Contracts

1. To coordinate with the Legal Team for the drafting of the Contract.
2. Print and route to signatories
3. Facilitates notarial of Contracts
4. Safekeeps Original copies of duly Notarized Contracts

Contract Monitoring

1. Do periodic inventory of new and renewed contracts
2. Ensures completeness of Hard Copy and scan copy of ALL contracts
3. Ensure regular updating and encoding of contracts to iVALUA for Admin Contracts and does the validation of ALL Contracts.
4. Conducts orientation/awareness if needed on Contract requirements

TOOLS OF TRADE MANAGEMENT

1. Handles the processing and monitoring of tools of trade such as Globe plan or communication tools and fleet cards.
2. Ensures enrollment to ADA the plan and delisting of resigned employees from ADA.
3. Handles the safekeeping of OR/CR of company vehicles, monitors car registration and insurance and processing of DOAS when needed.
4. Facilitate the transfer of ownership in coordination with the buyer or assignee.
5. Ensuring that tools of trade of separated employees are cleared prior to signing of clearance. 

OTHER ADMINISTRATIVE FUNCTIONS

1. Handles the secretarial works and logistical support to some Executives including minutes taking and events coordination. 
2.  Attends the scheduled Admin meetings to address administrative concerns.
3. Process accreditation for all government agencies when necessary.
4. Provides other administrative and logistical support to all departments during the implementation of company sponsored activities and events.
5.  Any other tasks as maybe directed by the Immediate Superior or Department Team Leader.

This role is primarily responsible for providing support for knowledge management, marketing, and business development systems. The key focus is to manage data and content required for the development of bid and proposal documents, including information used to develop employee resumes/CVs and project profile content, data used for the development of project descriptions and project information, and data needed for qualifications and proposals such as employee counts by office, office locations by country/region, and employee disciplines by office/state/country and region.

• Manage employee information including license information and project experiences and normalize data and content to ensure consistency with all the employees connected to the projects

• Prepares tax forms for Federal, State and International Compliance.

Minimum Requirements:

• Familiar with cost analysis and forecasting, cashflow reporting as it relates to planning and scheduling.

We’re looking for a highly driven and motivated Specialist, R2R Service Delivery to be part of our Shared Service Centre (SSC) and provide end-to-end accounting services in compliance with Group policies, International Financial Reporting Standards (IFRS) and local GAAP to be based in the Philippines.
Responsibilities:
The Specialist, R2R Service Delivery will report to the R2R Service Delivery Lead (SDL). Based at foodpanda’s Shared Service Centre in the Philippines, the R2R Specialist will be responsible for maintaining full set of accounts and monthly General Ledger closing using SAP system.

• Preparation and posting of journals in SAP for the assigned entities in accordance with local GAAP, IFRS and Group Reporting policies and in-line with the established Service Level Agreements (SLAs).
• Ensure that month-end closing tasks are completed in a timely manner and Group’s month-end closing timelines are met consistently.
• Ensure that intercompany (IC) postings are validated and correctly posted in SAP and IC balances are reconciled with counterparties on a monthly basis.
• Coordinating with finance and business operation teams on financial data and reports and recording transactions, ensuring completeness & timeliness of entries booking.
• Ensure accuracy, completeness, timeliness, and data integrity of all financial data.
• Provide in-depth analysis on Revenue and Costs for regional FP&A team during month-end reviews.
• Work with Regional/ Central Accounting and Controlling teams to clarify and perform in-depth analysis on monthly Financial Statement and Consumer Reconciliation reviews.
• Maintain and update asset/ liabilities reporting trackers such as receivables/ payable aging report, accruals and prepayment listing, Fixed Assets listing as required.
• Perform account reconciliations, including, bank reconciliations, balance sheet accounts, etc., and resolve the reconciling items in a timely manner.
• Respond to in-market queries and post accounting adjustments as required.
• Provide support during Group audit reviews, local Statutory audit, and internal audits.
• Continually standardize, automate, streamline, and proactively improve current reporting, finance operational and accounting processes to improve efficiency in financial reporting.
• To be involved in implementation of any system improvement projects.
• Perform all other related tasks that may be assigned from time to time by the SDL.

• Manage and enhance the work relationship with owners, directors, and other stakeholders of our biggest restaurant partners in the country
• Negotiate for our restaurant partners’ participation to our promotions, marketing campaigns, and other commercial projects and initiatives
• Strategize with our restaurant partners  for the continuous growth of their foodpanda orders
• Educate our restaurant partners with the best practices to maximize their sales and operations in foodpanda
• Serve as the SPOC for escalations from our restaurant partners
• Ensure that our restaurant partners are able to maintain the best customer experience for their branches in foodpanda

• Support in projecting a sell-out demand forecast for assigned category group on a bi-monthly basis:

1. Setting a clear subcategory-level baseline per store
2. Analyzing marketing campaign uplifts from previous period
3. Quantifying potential loss sales from unavailability issues
4. Updating campaign uplifts from the latest marketing plan

• Participate and drive in S&OP forecast meetings
• Monitor sales performance daily per category per store
• Closely work with supply planning associate to drive adjustments on plan
• Assist in projecting current month performance by using historical benchmarks
• Prepare and update monthly & weekly forecasting files and KPI reports based on actuals
• Identify slow-moving SKUs and flag to stakeholders to drive action
• Work with inventory controller on identifying stocks for balancing across warehouses
• Own the category group by being on-top of issues related to overall S&OP especially in ordering,availability, or forecasting
