Position : Logistics ManagerÂ
Work Hours (Client) : M-F, 9 AM to 5 PM, Dubai Time
Work Hours (MNL) : M-F, 1 PM, to 9 PM, Philippine Standard Time
Pay Range : $2,000 - 3,500 USD/month (depending on interview assessment and client's approval) Please take note that pay will be given in USD
Duties and Responsibilities:
Contract Management
• Ensure operations do not start (including providing nominations) until a written contract has been sent out or received from the counterparty as appropriate; where no contract is in place, the required exemption should be obtained.
• Check trader deal sheet/recap against Amicus contract, contact traders for corrections in case of discrepancies.
• Read and understand the contractual content, terms and conditions.
• Issue instructions to the relevant counterparties to execute the final contract, plus any amendments.
Financial Security
• Ensure no delivery is executed without adequate financial security in place as specified in the contract.
• Timely instruction for issuance of outgoing invoice/process of incoming invoices.
Cargo Management
• Nominate vessels under the contract agreed by the trader.
• Issue documentary instructions to meet the letter of credit (LC), customs, and contractual requirements.
• Issue custom declarations (where applicable).
• Appoint inspectors for Quality and Quantity (Q&Q) as per contractual requirements and other measures/analyses requested by traders.
• Process purchase, sale, and service invoices.
• Storage/Terminal management (where applicable).
Commercial Understanding
• Fully understand how each deal is priced and ensure pricing events are managed correctly.
• Basic understanding of hedging and the exposure on each cargo.
• Good commercial awareness in Operations – (e.g. volume tolerances, freight economics, demurrage savings, price exposure).
Vessel Management
• Clear the vessel with terminal and counterparties and vetting process through Charterers.
• Read and understand the fixtures.
• Issue instructions to the vessel on voyage orders/agents appointed / LOIs.
• Process all shipping invoices.
Insurance & Claims
• Quality and Quantity Claims Management
• Auxiliary Claims Management
• In the event of any issues during the execution of the contract, collect/coordinate documents, and correspondence with the Insurance company as required.
Coordination and Data Input
• Ensure correct and timely input of all details concerning the deal into the trading system
• Creation of Operators Files.
• Ensure the deal in the system is correct and matches final contractual terms.
• Enter and update vessel movements, event dates, Q & Q.
• Enter and update details for invoicing of goods plus costs for services.
• Maintenance and cleaning of cost accruals.
• Ensure pricing details are correct, to enable prompt invoicing.
• Timely issuance of outgoing invoices.
• Check and allocate incoming invoices for cargo and related costs.
- A minimum of 5 to 7 years experience in commodities trading, cargo, and/or shipping operations in refined products.
- Knowledge of the international trading environment and operational experience in West Africa /Arabian Gulf / Singapore / Malaysia is a plus.
- Knowledge of operational and financial procedures.
- Strong organizational skills and ability to manage priorities.
- Knowledge of Microsoft Office Suite especially Excel
- Good written and verbal communication skills
