Sourcing Management
- Work with Group Procurement and Chief Finance Officer to set goals and manage overall performance of procurement function.
- Drive strategic sourcing for spend categories as per operating model for the user departments in line with procurement objectives and goals.
- Create economic value by driving cost reduction initiatives across the company. Work with group procurement to execute procurement strategy, carry out strategic sourcing of Information Technology/Digital/Indirect procurement, and drive cost reduction initiatives for the company.
- Develop, direct and enforce e-Procurement vision and strategies to maximise the use of ICT for electronic procurement and commerce as well as establish and review processes and systems for effective and efficient procurement process flow across the company.
- Ensure that adequate internal controls and segregation of duties are in place within the operations at all times.
- Monitor Standard Operating Procedures (SOP) development and amendment to ensure all SOPs align with group standards and guidelines, and comply with regulatory requirements.
- Oversee annual plan and budget developments for the department. Ensuring budget adherence to the approved budget.
- Pro-actively review existing work processes and procedures to improve work efficiency and services of Strategic Sourcing staff.

Vendor Management
- Implement and ensure effective supplier relationship management.
- Strategic relationships with suppliers to achieve best deal and cost savings on goods, services or assets purchased.
- Maintain Group Panel of registered vendors/suppliers.

People Management
- Interface with key user departments and specifiers as a strategic partner to understand needs and influence sourcing decisions.
- Manage the skills and competency development of procurement staff, including training development and knowledge management capabilities to ensure the right resources are in place.
- Excellent team management, people and leadership skills with high level of integrity.

Negotiation Management
- Excellent analytical, interpersonal and organizational skills with ability to negotiate at the highest levels of suppliers.
Manage and oversee the team to negotiate with suppliers and business partners to deliver optimum level in cost, service and quality.
- Ability to analyze, evaluate and recommend on risk at strategic level

Schedule: Sunday to Thursday (08:30 AM - 05:30 PM EST)

What are we looking for?

Skills Required:

• BA/BS degree in Business, Supply Chain, or Logistics. Equivalent experience may be considered in lieu of education.
• 1-3 years of experience in Supply Chain, Product Procurement, and/or Logistics
• Experience in data mining, analysis, and reporting. Analytical mind with business acumen
• Highly proficient in MS Office (including MS Excel), STORIS (or other ERPs), PowerBI
• Core Competencies Include: Process Driven, Productive, Multi-Tasking, Critical Thinking, Analytical, Communication

What will you do?

• Support Supply Chain team by placing purchase orders in line with forecast & evolving business needs
• Follow domestic & import inventory procurement strategy to ensure healthy in-stock percentage while limiting excess, aged and discontinued inventory levels
• Place purchase orders for all domestic replenishment needs and cross train with senior team members in international replenishment process
• Provide direction for order expedition when necessary to ensure proper inventory levels are available to meet demand, minimizing short shipments to guests
• Coordinate with senior team members to create analysis reports on inbound volume, identifying & providing solutions to problem areas
• Maintain systems to ensure inventory optimization, open purchase order accuracy and appropriate replenishment strategies
• Perform additional duties and assignments as needed
• Maintain effective internal relationships by demonstrating mastery of the core communication skills
• Find opportunities to eliminate waste by improving/automating/standardizing current processes

This is a full-time role, Monday to Friday, Dayshift. 

This is an office-based position in central Cebu City. 

The expected start date is February 2024. 

ABOUT THE ROLE

As a Procurement Coordinator, you will be responsible for managing and coordinating procurement for our customers in Australia, North America, and Europe. This is a crucial role that requires working closely with our international and local resources to ensure that procurement is conducted to the highest standard and meets both internal and external expectations and deadlines.

RESPONSIBILITIES
 

• Obtain and track quotes for hardware and software renewals. 
• Obtain and track quotes for warranty renewals. 
• Obtain and track quotes for small item renewals, including certificates, keyboards, laptops, servers, and miscellaneous items. 
• Manage stock on hand, ensuring accurate inventory levels and efficient replenishment. 
• Maintain and manage receivables, ensuring timely payment from clients and resolving any billing issues. 
• Coordinate and manage deliveries and shipping logistics. 
• Efficiently manage purchase orders and sales orders, ensuring accuracy and timely processing. 
• Provide general administrative support to the procurement department. 
• Ensure the customer relationship management (CRM) system is kept up to date with relevant information. 
• Manage internal stock levels and process orders as needed. 
• Update and maintain wikis and other knowledge management platforms. 
• Generate and analyze backorder reports, taking appropriate actions to resolve any issues.  

QUALIFICATIONS AND REQUIREMENTS 

• Bachelor's degree in Finance, Commerce, or a relevant field. 
• At least 5 years of relevant experience in procurement management or a similar role. 
• Ability to multi-task and adapt to changes quickly. 
• Proficiency in telephony skills, typing skills, and planning and preparing written communication. 
• Proficiency in using new IT applications, processes, software, and equipment. 
• Self-motivated with the ability to work in a fast-moving environment. 
• Strong organizational, presentation, and customer service skills. 
• Strong attention to detail and exceptional analytical and problem-solving abilities. 
• Excellent organisational skills with the ability to prioritise tasks, work on multiple assignments, and manage time effectively. 
• Ability to work independently and as part of a team.
