Responsibilities:

• Provide routine administrative support such as diary management, including monitoring time-sensitive responses and/or deadlines that require follow-up 
• Global travel coordination including visa applications, flights, accommodation, and airport transfers 
• Coordinate and support offsite meetings including caterers, team dinners and team-building activities  
• Process expenses, and purchase orders and deal with accounting-related issues  
• Complete ad-hoc projects on an as-needed basis 
• Maintain annual leave roster for the Sales & Bids team  
• Develop strong relationships with the company’s Executive Assistants 
• Ad-hoc: Support the EMEA / APAC VP Executive Assistant as and when required  
• Other administrative duties, as assigned

What you need to be successful

• Graduate of a Bachelor’s degree in business, marketing, mass communication or related areas preferred.
• Open for fresh graduates with sales experience gained through internship but candidates with 2-3 years Sales and/or Business Development experience and strong understanding of Sales Pipeline Management will be prioritized.
• Strong communication skills. Preferably comfortable to speak in both English, Filipino, and in the local dialect in the area.
• Open to do extensive fieldwork.
• Highly motivated to achieve targets, objectives, and key result areas.

The Executive Assistant is responsible for providing administrative support to one or more executives, performing day-to-day tasks such as coordinating diaries, preparing materials for meetings, organizing and managing data, and serving as a liaison with other departments.   • Data collection of site parking and storage costs and enter in the West Region spreadsheet
  • Submit ZAP forms
• Iron Mountain for Americas
  • Code and/or ensure all invoices are set up with proper regional PO number in Coupa and process via Coupa
• Safety Incident Reporting
  • Maintain the Safety Incident Reporting spreadsheet on a monthly basis for the RFM’s to enter follow up notes

As an Executive Assistant/Office Assistant, you will provide high-level administrative support to the company's executive management and handle the overall office management. This role is crucial in ensuring the efficient operation of the local office and the overall smooth functioning of the business.

General Duties and Expectations:

• Stand as the primary point of contact for all employees regarding inquiries, communication, and coordination of activities within the company.
• Oversee the day-to-day operations of the office, including managing supplies, coordinating facilities maintenance, and ensuring a productive and efficient work environment.
• Set up physical and virtual meetings, and prepare the minutes of the meeting.
• Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
• Assist with emails and correspondences.
• Support management with various projects by coordinating tasks, tracking progress, and ensuring deadlines are met. Collaborate with team members and other departments as required.

• Must have excellent working knowledge of MS Office and Google Suite
