The Operational Procurement Professional is part of the Vendor Management Operations Team, which is located in Avaloq's centralized Vendor Management Team. The Vendor Management Team ensures that the goods Avaloq needs are available and that the services to be procured are negotiated at the best possible conditions. Smoothly functioning purchasing is an important basis for the successful realization of our projects and the best possible satisfaction of our customers. The Vendor Management Operations Team consists of various specialists with responsibilities in the areas of contracting, procure-to-pay and system/tool administration.

In this role you will work closely with contract managers, vendor management category leads and global stakeholders (including project managers and PMOs) to ensure PO Documents and onboarding and offboarding of external employees are in line with our recent processes and policies. A core result of this position is to guarantee a smooth handling of Avaloq’s entire operational purchasing process, being part of various projects, and important assistance with internal and external procurement audits.

Your key tasks:

• Execute purchase orders in accordance with our purchase requisitions (reviewing and analysing). Support finance and business colleagues in both the good receipts and invoice approval process and oversee the onboarding, extension and offboarding of externals employees.
• Vendor Master Creation
• Make sure to adhere to our Group Procurement Policies, processes, and guidelines. (including approval of purchase requisitions and/ or purchase orders)
• Plan, execute, and finalize procurement projects according to deadlines and within budget. Acquiring resources and coordinating the efforts of team members and internal departments to deliver according to plan.
• Offer buying support if needed: Supports business end users with Item Requests and Onboarding Process. Trains and educates internal stakeholders on existing processes and familiarizes them with those. Provide inputs to improve the procurement to pay process.
• Support other team members in their daily procurement tasks.

The Procurement Associate is responsible for the timely and cost-effective procurement of local materials, supplies, or services for the plant operations. He/she is also responsible for looking for reliable vendors with good after-sales service to assure economical costs to the company.

Master Data Administration
The responsibilities and accountabilities of the position include but are not limited to the following:
● Execute, control and monitor the master data processes (for example: the creation, change, consolidation, and distribution of master data)
● Determines whether or not a newly requested master data object already exists in the central system
● Assemble master data input information from key stakeholders (Operations, Sales & Finance) and other master data admin to ensure the completeness, accuracy, and alignment of the data to be created or changed

Purchase Requisition to Purchase Order Processing
1. Determines the materials, supplies, or services needed for operation through daily review of approved Purchase Requisitions.
2. Coordinates with the internal customers for the specifications of the materials, supplies, or services particularly those that are highly technical and complex.
3. Prepares and processes all approved purchase requisitions of materials, supplies, or
services by conducting bidding procedures or canvassing with different vendors.
4. Negotiates for the best possible price on all purchases.
5. Prepares purchase orders based on approved purchase recommendation summary and ensures the accuracy of all entries in a timely manner.
6. Reviews and provides guidance in the preparation of contracts, agreements, and
amendments.
7. Keeps internal customers informed on updates of schedule changes and/or status of their purchase requisitions.

Purchase Order Delivery
8. Coordinates the processing of purchased materials, supplies, or services (e.g. ordering,
delivery, checking, receiving, and conducting follow-up), ensuring that materials and supplies received or and services rendered are as ordered - right price with right quality and quantity delivered at the right place within the time specified by the requisitioner.
9. Identifies corrective action remedies for defective or unacceptable materials, supplies, or services and coordinates with the vendor regarding rejects, returns, or repairs.

Payment Facilitation
10. Ensures timely payment to suppliers by mediating in billing reconciliations between
vendors and Accounting for settlement of invoice discrepancies for actual materials, supplies, or services ordered and delivered.

Supplier Management
11. Secures renewal and completion of supplier Accreditation requirements on a yearly basis for items being handled.
12. Assess the accredited vendor competence under the annual Vendor Performance

Evaluation Rating wherein compliance with purchase order agreements is being monitored
and reviewed.
13. Updates filing database for Accreditation and Vendor Performance Evaluation Rating and provide feedback to suppliers.

14. Manages existing supplier relationships to ensure continuity of delivery of materials,
supplies, or services that meets performance standards of the company while seeking new ones.

1.    Purchase needs and meet orders, gather information about the market, manage relationships with vendors, and ensure that purchases are made on time by placing orders with vendors.
2.    In line with the standards and procedures identified by the facility and the Head Office, carry out all purchases related to the facility in coordination with the Purchasing Department and monitor, plan and deliver them on time and according to budgetary discipline.
3.    Gather quotes from companies for all supplies that enter the facility.
4.    Decide on how the supplies will be purchased, in line with the policies identified by Cluster General Manager.
5.    Prepare lists of approved suppliers.
6.    Collect orders from the departments and ask for written quotes from companies. Submit the top three quotes that are compatible with the policy.
7.    Organise the drivers and vehicles for purchasing and administrative purposes.
8.    Control the invoices and waybills for goods purchased from other companies and organisations.
9.    Control whether the goods received from the companies comply with the required quality standards. Contact companies that have not delivered goods with the required quality standards and ensure that the proper quality goods are delivered.
10.    Ensure that employees in the Purchasing Department work in a coherent and systematic manner.
11.    Organise periodic department meetings.
12.    Identify the training needs of the department’s employees and offer in-house and external training opportunities.
13.    Motivate employees by creating an appropriate environment physically, socially and psychologically in the department.
