The Procurement Associate is responsible for the timely and cost-effective procurement of local materials, supplies, or services for the plant operations. He/she is also responsible for looking for reliable vendors with good after-sales service to assure economical costs to the company.

Master Data Administration
The responsibilities and accountabilities of the position include but are not limited to the following:
● Execute, control and monitor the master data processes (for example: the creation, change, consolidation, and distribution of master data)
● Determines whether or not a newly requested master data object already exists in the central system
● Assemble master data input information from key stakeholders (Operations, Sales & Finance) and other master data admin to ensure the completeness, accuracy, and alignment of the data to be created or changed
● Follow and maintain naming convention guidelines where applicable
● Ensure data quality, compliance and consistency of master data across business systems
● Perform regular master data health checks to ensure that required master data across systems are accurate, complete, up-to-date, and available
● Own the resolution of all master data related issues, these include data gathering &
understanding the issues through master data gap analysis, root cause analysis & correction, and coordination with various internal support team and end-user
● Provide support related to master data requirements for change requests and new system implementations
● Assist business process experts in defining standard operating procedures, process flows and related documentation.
● Assist with the maintenance and review of system user guides particularly in the master data setup to ensure they are accurate and up to date at all times

Purchase Requisition to Purchase Order Processing
1. Determines the materials, supplies, or services needed for operation through daily review of approved Purchase Requisitions.
2. Coordinates with the internal customers for the specifications of the materials, supplies, or services particularly those that are highly technical and complex.
3. Prepares and processes all approved purchase requisitions of materials, supplies, or
services by conducting bidding procedures or canvassing with different vendors.
4. Negotiates for the best possible price on all purchases.
5. Prepares purchase orders based on approved purchase recommendation summary and ensures the accuracy of all entries in a timely manner.
6. Reviews and provides guidance in the preparation of contracts, agreements, and
amendments.
7. Keeps internal customers informed on updates of schedule changes and/or status of their purchase requisitions.

Purchase Order Delivery
8. Coordinates the processing of purchased materials, supplies, or services (e.g. ordering,
delivery, checking, receiving, and conducting follow-up), ensuring that materials and supplies received or and services rendered are as ordered - right price with right quality and quantity delivered at the right place within the time specified by the requisitioner.
9. Identifies corrective action remedies for defective or unacceptable materials, supplies, or services and coordinates with the vendor regarding rejects, returns, or repairs.

Payment Facilitation
10. Ensures timely payment to suppliers by mediating in billing reconciliations between
vendors and Accounting for settlement of invoice discrepancies for actual materials, supplies, or services ordered and delivered.

Supplier Management
11. Secures renewal and completion of supplier Accreditation requirements on a yearly basis for items being handled.
12. Assess the accredited vendor competence under the annual Vendor Performance

Evaluation Rating wherein compliance with purchase order agreements is being monitored
and reviewed.
13. Updates filing database for Accreditation and Vendor Performance Evaluation Rating and provide feedback to suppliers.

14. Manages existing supplier relationships to ensure continuity of delivery of materials,
supplies, or services that meets performance standards of the company while seeking new ones.

The Systems and RM Inventory Analyst is responsible for managing the flow of finished goods including VAM and RM products from warehouse cold storage to map per system requirements. Ensures accuracy and maintaining inventory levels, making necessary reports, recording and analysis per product and customer or sales requirements. Focus on External Storages and Retail Stores Ensures that RM to FG Reclass is properly recorded including Sub-inventory Transfers.

Key Duties and Responsibilities

• Checks and reviews finished goods produced for the day and matches with order, dispatch before doing system transaction
• Coordinates with Inventory Analyst and Specialist for the possible lacking orders unproduced, unserved before executing system transactions.
• Responds to inquiries regarding products and inventories.
• Checks actual items and quantities for dispatch.
• Update Inventory Records based on items and quantities dispatched.
• Help validate that products for preparation and staging are matched with label vs actual.
• Works with Warehouse and Inventory in monitoring of aging, non moving products and provides reports regularly for immediate disposition.
• Ensures accuracy of on hand inventories against system records & escalates issues related to inventory shortages and discrepancies; Initiates investigation to ensure accuracy and completeness of FG Inventory records.
• Obtain a copy and validate RM requests.
• Analyze transformation or reclass yield.
• Monitor and ensure excess were physically returned, with updated label and recorded on Inventory files.
• Transact system reclass from RM.
• Checks non-conforming products and prepares condemnation of products and specifies reasons and explanation for the condemned items.
• Checks physical condition of finished goods and ensures conformance to storage and handling standards.
• Updates Slow/Non Moving items Monitoring.
• Review and verify dispatch report from all sites.
• Maintain and publish served and unserved reports and works with Inventory Analyst and planning the recovery plan.
• Address system TOI concern, validate and update system accordingly.
• Update and transact condemn items per QA and site Manager disposition.
• Provides reports on non-conformance and improvements to immediate superior.
• Join and help perform periodic physical inventory.
• Ensures compliance to food safety and quality standards set by HACCP, GMP & ISO.
• Performs other related activities that may be assigned by immediate superior.

FOOD SAFETY

• Complies with quality, Halal, health and food safety policy, standards and regulations of the company.
• Responsible for reporting problems related to Halal, food safety & quality management system to identified authorities.

The Cost and Inventory Analyst - Poultry & Meats is responsible for providing accurate information on detailed costing and running cost of all meats, poultry, layer & broiler produced, transferred and sold by ensuring correctness of stated inventory and inventory-related account balances at any given time; and efficient accounting, costs effective and recording of inventory and costing-related transactions.  The position is also responsible for inventory valuation (excluding fixed assets).

DUTIES AND RESPONSIBILITIES:

Cost Accounting and Management Reporting

1. Provides accurate detailed costing for all meats, poultry, layer & broiler farms and prepares Detailed Costing report.
2. Prepares the following monthly reports:
   • Monthly Meats & Poultry Cost Analysis
   • Monthly Raw mats and Spares In transit report
   • Monthly Feed consumption report
   • Monthly monitoring of feeds cost movement
   • Monthly Insurance Report
   • Monthly Financial Statement of Medes Broiler Farm & Other Project
3. Validation and cut-off of system documents.
4. Prepares and encodes Journal Vouchers. 

Fixed Assets

1. Prepares monthly monitoring of livestock, the retirement and addition of livestock.

Inventory Count.

1. Reconciles monthly inventory and inventory-related accounts.
2. Analyzes inventory variances.
3. Conducts periodic visit on farms for physical inventory.

Other Duties

1. Provides the Management Accounting Lead, Management Accounting Supervisor and P&L Accountant with information that might influence poultry cost planning
2. Attends weekly poultry production and marketing meetings in the absence of Team Leader.
3. Performs other job-related duties as assigned.
