ABOUT THE ROLE:

We are seeking a highly motivated and detail-oriented individual to join our team as a Quotations & Project Management Specialist. The successful candidate will be responsible for managing quotations and coordinating projects related to lighting, lighting controls, and Electric Vehicle Supply Equipment (EVSE). The role requires effective communication, proactive task execution, and collaboration with internal teams to achieve both short-term and long-term goals.

RESPONSIBILITIES:

• Quotations and Coordination: Prepare and manage quotations for lighting, lighting controls, and EVSE. Also, coordinate with suppliers, vendors, and internal teams to ensure accurate and timely quotations.
• Team Collaboration: Work seamlessly with other team members to contribute to the overall success of the organization and collaborate with management and sales teams to develop strategies that enhance the chances of winning projects.
• Proactive Task Execution: Demonstrate a proactive approach in executing daily tasks and take initiatives to achieve long-term goals and contribute to the growth of the department.
• Customer Follow-Up: Follow up on quotations to address customer concerns, issues, or questions and provide clarification and additional information as needed to facilitate the decision-making process.
• Project Management: Manage projects related to lighting and switchgear orders and ensure timely and accurate execution of project tasks, including coordination with various stakeholders.

QUALIFICATIONS:

• Proficient in Asana, Trello, or similar project management tools for task and project management and communication.
• At least 1-3 years of relevant experience
• Strong communication skills, especially when dealing with US-based businesses.
• Proficient in office productivity tools (e.g. Google Workspace, Zoom, Microsoft 365 etc.)
• Proficient in Microsoft Excel and Smart Sheet (Smart sheet experience is a plus, and can be learned on the job).
• Familiarity with AI tools is advantageous and willingness to learn new technologies.
• Industry Knowledge: Some background in lighting is highly beneficial.
• Team-oriented personality with excellent interpersonal skills.
• Proactive mindset and ability to work independently.
• Strong organizational and time-management skills.
  

DEVICE / CONNECTIVITY REQUIREMENTS:

• At least 50mbps internet speed

QA is an expert in conducting end-to-end monitoring and feedback, reinforcing positive agent behaviors that will result to customer satisfaction, and reforming those that result to negative customer experience.  QA shall be able to assess how transactions are handled, and identify the areas that need improvement.

QA shall ensure that all agent-customer interactions result to positive experience and are performed in accordance to pre-determined compliance guidelines, through, but not limited to:

·         Live or recorded monitoring of agent interactions (both voice and non-voice) ensuring compliance to pre-determined quality guidelines.

·         Meeting the required number of evaluations on a daily, weekly, and/or monthly basis.

·         Provide accurate and impartial judgement on all transaction evaluations.

·         Regular coaching sessions with agents to reinforce good behavior and reform opportunities

·         Reporting of daily, weekly, monthly, and quarterly monitoring scores or any quality-related performance together with root-cause/data analysis and recommended action items.

·         Reporting of critical errors to Operations, Training, and HR, and monitor if the concerned party has completed the relevant corrective action procedures.  

·         Attending administrative hearings and deliberations resulting from the critical error callouts.

·         Facilitating QA rollouts and guidelines orientations for new-hires, and certifying agents prior to official endorsement to Operations.

·         Collaborating with Operations and Training in developing the technical and soft-skills of agents through coaching sessions, QA orientation, calibration sessions, rewards and recognition projects, etc.

·         Attending and facilitating calibration sessions, and sending relevant minutes and variance reports after each session.

·         Liaising with clients, and other internal groups as needed, on the creation/update of monitoring/compliance/knowledge-based tools and guidelines, etc.

·         Reporting agent and transaction compliance trends to the Quality Manager and/or QA Supervisor.

·         Identifying trends and opportunities for additional training or corrective action as needed and share feedback with immediate supervisor, Operations, and Training.

·         Taking proper action on disputes filed against transaction evaluations.

·         Participating in internal and external client meetings and performance reviews.

·         Participating in process improvement designs related to quality, technology (CRM/KRM), agent-customer interaction flows, etc.

·         Reviewing and submitting exceptional calls to be pooled for the good call library.

·         Performing physical or information security audits, and telecommunication line quality, and floor background noise as needed

Performing other duties as requested or required by the Quality Manager or QA Supervisor, including taking in calls and/or providing back office services.

ABOUT THE ROLE

As a Procurement Coordinator, you will be responsible for managing and coordinating procurement for our customers in Australia, North America, and Europe. This is a crucial role that requires working closely with our international and local resources to ensure that procurement is conducted to the highest standard and meets both internal and external expectations and deadlines. 

In this role, you will have the opportunity to make a significant impact on our business, helping to ensure that we deliver the best possible service to our customers. Your attention to detail, strong organizational skills, and ability to work effectively with others will be key to your success. 

Once you’ve mastered this role, you have the opportunity to progress into Level 2 and 3 Procurement Manager role.

RESPONSIBILITIES
 

• Obtain and track quotes for hardware and software renewals. 
• Obtain and track quotes for warranty renewals. 
• Obtain and track quotes for small item renewals, including certificates, keyboards, laptops, servers, and miscellaneous items. 
• Manage stock on hand, ensuring accurate inventory levels and efficient replenishment. 
• Maintain and manage receivables, ensuring timely payment from clients and resolving any billing issues. 
• Coordinate and manage deliveries and shipping logistics. 
• Efficiently manage purchase orders and sales orders, ensuring accuracy and timely processing. 
• Provide general administrative support to the procurement department. 
• Ensure the customer relationship management (CRM) system is kept up to date with relevant information. 
• Manage internal stock levels and process orders as needed. 
• Update and maintain wikis and other knowledge management platforms. 
• Generate and analyze backorder reports, taking appropriate actions to resolve any issues.  

QUALIFICATIONS AND REQUIREMENTS 

• Bachelor's degree in Finance, Commerce, or a relevant field. 
• At least 5 years of relevant experience in procurement management or a similar role. 
• Ability to multi-task and adapt to changes quickly. 
• Proficiency in telephony skills, typing skills, and planning and preparing written communication. 
• Proficiency in using new IT applications, processes, software, and equipment. 
• Self-motivated with the ability to work in a fast-moving environment. 
• Strong organizational, presentation, and customer service skills. 
• Strong attention to detail and exceptional analytical and problem-solving abilities. 
• Excellent organisational skills with the ability to prioritise tasks, work on multiple assignments, and manage time effectively.

The AP Specialist will prepare and process invoices timely and accurately for multiple companies, vendor communication, and coordinating month end closings with the Accounting Department.

Note this role is Hybrid and on a night shift (usually starting at 9pm).

Responsibilities and Duties:

• Be able to process a high volume of invoices
• Manage workflows to ensure fast processing and approvals of payments
• Code invoices to correct accounting unit (location/department), general ledger account and accounting period
• Weekly check run; ensures backup and signatures are complete and mail payments
• Process travel and expense reports and oversee distributions in a timely fashion
• Support month-end and year-end close processes, including internal and external audit
•  Actively follow up on delays and communicate corrective action
•  Review debit balances on vendor accounts
•  Reconcile vendor statements to ensure that accounts are up to date and correspond with vendors to clear discrepancies
•  Perform ad-hoc analysis and other duties as assigned
•  Follow established Accounts Payable policies, procedures, and control processes to ensure accuracy of Accounts Payable

Education:

• Bachelor’s Degree in Accounting or Finance

Work Experience:

• Typically requires a minimum of 2 - 4 years of related experience

Others:

• Minimum of 2 years relevant AP experience in the technology industry, with the ability to operate in a fast-paced and complex environment.
• Experience with Procure to Pay system- Opentext, SAP, Netsuite, Concur or comparable systems
• Proficiency in electronic payment processing and accounts reconciliation
• International and domestic payment experience using different payment methods and across multiple banks
• Sound working knowledge of the Microsoft Office suite
• Advanced spreadsheet skills, including v-lookup and pivot table
• Highly organized and deadline-driven individual capable of processing and managing a high volume of transactions by set deadlines
• Independent professional with strong attention to detail, ability to multitask, and a drive to learn and grow
• Strong problem-solving skills

The Learning and Development Specialist (L&D Specialist) will focus New Hire Training and Job specific trainings as needed by the Operations team. The L&D Specialist will learn and implement the process flow to ensure building skills, upskilling, and drive performance metrics aligned with PTW organization goals.

Content Design and Development:

• Coordinate with the Content team to design course materials as per training/event requirements.
• Develop modules and course material based on the designs.
• Create and adapt curriculum for a variety of audiences and learning delivery methods.
• Develop complementary training materials that enhance learning options, including participant and leader guides, manuals, reference cards and certifications.
• Modify programs as and when required.
• Ensure available contents meets the process standards.

Coordination:

• Manage and coordinate training enrolments.
• Design, prepare and order educational aids and materials as and when required.
• Act as the SME within the business for anyone with questions or queries regarding New Hire Training and development plans.
• Develop and maintain organizational communications such as bulletin boards and newsletters. to ensure employees have knowledge of training and development events and resources.
