Primary Responsibilities and Duties:

Compliance and Document Management:

• Ensure all OTX activities comply with regulatory requirements and company policies.

• Communicate with all concerned parties reports on document monitoring.

In this role, you will be the single point of contact for the Commercial and Finance teams, to liaise on Finance/Revenue related requests. You will be the go-to person from the Commercial side on all Finance related processes, platforms and documents who can advise on actions accordingly. You will also be responsible for ensuring that all key cut-off dates based on the Monthly Closing Calendar are strictly adhered to

• Update opportunities for Commercial teams and advise on opportunity set-up in Salesforce.

Team Management

What you bring to the table:

Your Responsibilities 

The Sales Operations Coordinator plays an important role in providing operational support to the revenue generating teams (Business development and Key Account Management) achieve its targets in the key client segments of banks, insurances, asset managers, asset owners, corporates, and redistribution channels. The ideal candidate is highly organized, service-oriented, and enjoys executing ad-hoc tasks as well as repetitive tasks diligently and with an eye for detail.   

You will be part of the global Commercial division and report to the Manager, Sales Operations based in Manila. Moreover, you will: 

• Manage, distribute, and control inbound leads  
• Provide ongoing sales support to the Business Development and KAM teams, such as drafting quotes, and other relevant materials.    
• Conduct research to identify relevant contacts in the key client segments using online sources  
• Manage client- and sales-related activities in the RepRisk CRM tool (Salesforce) and Sales Operations Dashboard via Microsoft Teams  
• You prepare sales briefings and other adhoc analyses as required by the Business Development and Key Account Management teams

The Sales Coordinator responds to and tracks all sales and conferences inquiries, and supports the Sales Managers with creating proposals, estimates, and contracts. This Sales Coordinator is also responsible for responding to and documenting all Christmas Parties and Niche Market inquiries for their designated geographic region.

Duties and Responsibilities

• Managing and tracking incoming telephone, email, and online sales inquiries directing to the appropriate Sales Manager within a 24-hour turnaround time
• Checking availability for both guest rooms and function space
• Under direction from the Sales Managers, creating proposals and estimates and preparing formal contracts based on individual client’s needs
• Blocking guest rooms and function spaces in property management software
• Making reservations for dining outlets arranged as part of client’s booking
• Consulting General Manager, Conference Services and Chef for unique requests and pricing
• Copying and distributing all pertinent data concerning booked activities to appropriate departments
• Managing follow-up correspondence requests for both proposals and contracts
