About the Role:

We are seeking a bookkeeper who can efficiently manage and oversee a designated accounts payable (AP) email account. The ideal candidate should possess strong organizational skills to categorize all bills according to projects or codes and facilitate their approval process. The primary responsibilities include monitoring, organizing, and responding to the AP email account, ensuring a systematic arrangement of bills based on projects, and facilitating the approval workflow.

Responsibilities:

• Monitor, manage, and respond to a dedicated AP email account
• Organize bills systematically by project/code and submit them for approval
• Compile and send out weekly PDF packets of invoices with bills and digital stamps
• Efficiently organize emails related to accounts payable
• Take responsibility for drafting cash flow and payable reports, as well as determining which vendors should be paid
• Track and analyze budget versus actual expenditure numbers

• Has at least 2 years of bookkeeping or similar experience
• Has at least Above Average to Excellent communication and written skills. A minor accent is acceptable.
• Proficient in MS Excel, Office 365, QuickBooks Online, Zoom, Google Meet, Adobe Acrobat, and Whatsapp
• Organized and a self-starter
• Strong attention to detail and accuracy in handling financial data.
• Ability to work independently and meet deadlines in a fast-paced environment.

• We will provide guidance on posting requirements and schedule as well as the creative if you can own simply making it live on all platforms (posting on Instagram, Tik Tok, YouTube, X/Twitter, LinkedIn).
• Social editing
• Writing good captions / making small edits to social posts
• Social media calendar management is possible.
• Monitoring 2-3 email inboxes to capture and respond to both client requests and other inquiries and schedule/set appointments with clients and leads who reply in the inboxes.
• Manage calendar including client meetings, sales calls, meetings, travel, etc.
• Other misc. online administrative tasks as needed

About the role:

In this role, you will assist the Senior Director of Customer Experience with all customer support related needs- working in both a strategic and task-oriented capacity. This person must be passionate about people, extremely organized, and has the flexibility to adapt to changing priorities.

What you’ll do

• Provide “real-time” chat, phone, and email support

As an Accounts Receivable Specialist, you will play a crucial role in the financial operations of our organisation. You will be responsible for a portfolio of international customers, maintaining accurate  records of incoming payments, reconciling discrepancies, and ensuring timely collections. The  ideal candidate will possess strong attention to detail, excellent communication skills, and a solid understanding of accounting principles. You will collaborate with various departments to facilitate seamless financial transactions and contribute to the overall efficiency of our finance  team. 

Responsibilities: 

• Manage an international customer ledger, seeking to drive the collection of cash,
  whilst reducing overdue debt
• Work towards monthly and quarterly cash and debt objectives
• Contact debtors by letter, email, or telephone call to address new and/or overdue invoices
• Document customer interactions such as payment updates and billing queries
• Work with internal stakeholders (Sales, Billing, Tax, etc.) to resolve issues which prevent payment
• Display full accountability for invoices once generated, and own the process through to collections/clearing
• Leverage a formal invoice reminder process, through to a potential warning of suspension of service
• Establish and maintain regular communications with key clients, seeking to provide a positive customer experience
• Perform account reconciliations where necessary and provide supporting evidence to recommend journals, adjustments and write-offs

People Management

• Manages sales team in terms of performance and discipline
• Drive high performance in the team through managing the team and provide quality feedback on their performance and development through coaching and business reviews
• Support the sales team on their training and development by identifying competency gaps or career opportunities, coaching them and providing the resources needed to develop team members
• Hold team members accountable with clear objectives and KPIs. Ensure that they uphold to policies, procedures and company standards every time
• Communicate company directions and strategies consistently and accurately. Engage the team by discussing about the company’s vision and its values and how the team contributes to these
• Effectively recruit talent that can contribute to the achievement of company objectives and goals. Facilitate effective onboarding process for new hires
• Facilitate regular team meetings to discuss issues, share knowledge, celebrate achievements, and provide training and direction

Sales Operations Management

• Establish sales objectives by forecasting and developing annual sales quotas for the territories under the district and projecting expected sales volume and profit for existing and new products
• Manage profitability through the achievement of targets, pricing decisions and the development and control of budgets
• Management of sales team to hit sales targets, achieve growth and increase in market share
• Oversee the activities and performance of the sales team
• Monitor and review district’s performance through preparation of quality sales, revenue, and expense reports
• Assess current district’s processes and procedures, identify opportunities for improvement, and implement them.
• Proper resource allocation to ensure profitability by preparing sales activity budgets and projections based on relevant information
• Monitor and approve expenses under their district in a timely manner
• Handle and resolve customer complaints regarding a product or service

This role is an important part of our Quality Assurance process, and aims to ensure that all sales and operational staff represent TSA and their Clients in a manner that is compliant with internal standards, as well as individual client procedures and legislation.
