The Role
As our Executive & Personal Assistant, you are an indispensable pillar, ensuring seamlessΒ
operations at the executive level. You will be the behind-the-scenes force enabling ourΒ
CEO, leaders and C-suite teams we serve, to perform at their best
Key Responsibilities:
1. CEO Support:
β’ Streamline the CEOβs daily activities.
β’ Efficiently manage the CEOβs calendar and email inbox managing and triaging everyΒ
email (familiarity with Slack, iMessage, Gmail, & Outlook Calendar).
β’ Assist in document and presentation preparations for sales, meetings, and marketingΒ
events.
β’ Coordinate detailed travel plans, including itineraries, agendas, and essentialΒ
documents.
β’ Facilitate seamless communication between the CEO and integral team members
and clients.
2. Administrative Duties:
β’ Generate reports, memos, invoices, letters, and other vital documents.
β’ Oversee basic bookkeeping tasks. Generate invoices for clients and track timelyΒ
payment.
β’ Process incoming emails and correspondences.
β’ Conduct research for various internal or external objectives.
β’ Offer general administrative support, including recording accurate meeting minutes.
β’ Organize company documents in shared folders
β’ Personal assistance for CEO, often time sensitive, such as booking personalΒ
appointments, purchasing gifts, and other needs as they come up.
3. Onboarding and Team Coordination:
β’ Prepare and manage confidentiality agreements for contractors; onboard clients,Β
contractors and employees.
β’ Oversee new team member integration, including sharing onboarding processes andΒ
ensuring access to company platforms and channels.
β’ Monitor team & client birthdays and ensure timely acknowledgements as well as theΒ
arrangement of gifts
4. Event and Project Management:
β’ Lead the execution of off-site meetings, from planning to material procurement andΒ
conceptualizing creative giveaways.
β’ Drive projects aimed at enhancing client and employee satisfaction; derive insightsΒ
from client feedback to strategize churn mitigation.
β’ Assist in the coordination of marketing needs and social media posts.
β’ Research and apply uses of AI to benefit business and assist in implementation.
5. Operations, Marketing and Business Development:
β’ Build and optimize processes, introducing proven workflows and tools for efficiency.
β’ Spearhead operations and marketing strategies and oversee implementation.
β’ Play an instrumental role in business development, from sales pitches to contractΒ
Negotiations.
6. Quality Assurance:
β’ Establish and maintain SOPs, playbooks, checklists, and more to guaranteeΒ
consistent and high-quality service for all clients
Qualifications:
- 3 years minimum of experience as Virtual Assistant/EA
- Experience withΒ the ff tools
- Tools: Microsoft outlook, Zoom, Google workspace (required)
- Otter AI, Monday ( big plus)
- Familiar with mac/ have used mac ios products before
- Confident and proactive in suggesting and giving opinions
