The Role
As our Executive & Personal Assistant, you are an indispensable pillar, ensuring seamlessĀ
operations at the executive level. You will be the behind-the-scenes force enabling ourĀ
CEO, leaders and C-suite teams we serve, to perform at their best
Key Responsibilities:
1. CEO Support:
ā¢ Streamline the CEOās daily activities.
ā¢ Efficiently manage the CEOās calendar and email inbox managing and triaging everyĀ
email (familiarity with Slack, iMessage, Gmail, & Outlook Calendar).
ā¢ Assist in document and presentation preparations for sales, meetings, and marketingĀ
events.
ā¢ Coordinate detailed travel plans, including itineraries, agendas, and essentialĀ
documents.
ā¢ Facilitate seamless communication between the CEO and integral team members
and clients.
2. Administrative Duties:
ā¢ Generate reports, memos, invoices, letters, and other vital documents.
ā¢ Oversee basic bookkeeping tasks. Generate invoices for clients and track timelyĀ
payment.
ā¢ Process incoming emails and correspondences.
ā¢ Conduct research for various internal or external objectives.
ā¢ Offer general administrative support, including recording accurate meeting minutes.
ā¢ Organize company documents in shared folders
ā¢ Personal assistance for CEO, often time sensitive, such as booking personalĀ
appointments, purchasing gifts, and other needs as they come up.
3. Onboarding and Team Coordination:
ā¢ Prepare and manage confidentiality agreements for contractors; onboard clients,Ā
contractors and employees.
ā¢ Oversee new team member integration, including sharing onboarding processes andĀ
ensuring access to company platforms and channels.
ā¢ Monitor team & client birthdays and ensure timely acknowledgements as well as theĀ
arrangement of gifts
4. Event and Project Management:
ā¢ Lead the execution of off-site meetings, from planning to material procurement andĀ
conceptualizing creative giveaways.
ā¢ Drive projects aimed at enhancing client and employee satisfaction; derive insightsĀ
from client feedback to strategize churn mitigation.
ā¢ Assist in the coordination of marketing needs and social media posts.
ā¢ Research and apply uses of AI to benefit business and assist in implementation.
5. Operations, Marketing and Business Development:
ā¢ Build and optimize processes, introducing proven workflows and tools for efficiency.
ā¢ Spearhead operations and marketing strategies and oversee implementation.
ā¢ Play an instrumental role in business development, from sales pitches to contractĀ
Negotiations.
6. Quality Assurance:
ā¢ Establish and maintain SOPs, playbooks, checklists, and more to guaranteeĀ
consistent and high-quality service for all clients
Qualifications:
- 3 years minimum of experience as Virtual Assistant/EA
- Experience withĀ the ff tools
- Tools: Microsoft outlook, Zoom, Google workspace (required)
- Otter AI, Monday ( big plus)
- Familiar with mac/ have used mac ios products before
- Confident and proactive in suggesting and giving opinions
