About the role:
Event Coordinators are dynamic hospitality professionals responsible for booking private dining events, buyouts, offsite events, and marketing/retail events at all Gracious Hospitality Management (“GHM”) properties. They will assess customers' needs, confirm available dates/times, quote services based upon set parameters, and introduce all prospective leads to the appropriate property-level Events Manager once a client is ready to contract. They also assist with menu printing, sourcing, and all other events administrative tasks at the direction of the Events Managers.

Duties and Responsibilities:
â—ŹReply and vet all event inquiries within 24 hours via company designated phone and/or email. All inquiries received during working hours must be answered in the same workday they are received.
â—Ź Clear and organize all assigned property level Tripleseat leads and Events email inboxes. Field questions, offer available dates/times, and quote services based on set parameters to
prospective clients.
â—Ź Refer clients to the property Events Manager once the client is interested in contracting the event.
â—Ź Flag VIP inquiries to the Events Managers for their review prior to quoting availability, services, and pricing.
â—Ź Assist the Events Managers in printing, sourcing, and other events administrative tasks at the direction of the Events Managers.
â—Ź Display strong verbal and written communication, effectively delivering accurate information to all customers.
â—Ź Schedule customers with tours of Private Dining spaces with the property level Events Managers.
â—Ź Hands over responsibilities and open customer discussions to the Events Managers prior to days off or time off to ensure there is no lapse in communication.
â—Ź Provides updates to events as necessary with both Front of House and Back of House teams in order to ensure clear and constant communication.
â—Ź Assist the Events Managers in monitoring all event calendars for all businesses, with a focus on organization and accuracy.
â—Ź Assist the Events Managers with the maintenance of Tripleseat, including converting leads, maintaining all documents, customer databases, and informational materials.
â—Ź Maintain accurate knowledge on hours of operations, service and facility information.
â—Ź Seeks clarity from management as needed.
â—Ź Assists other stations or areas of the restaurant when requested by the Head of Global Events.
â—Ź 1+ year of experience in a full-service restaurant in an events assistant or coordinator position
â—Ź Must have the ability to read, speak, understand, follow written directions, and verbal instructions in English.
â—Ź Must be reachable by email and able to communicate via phone as well.
â—Ź Communicates information effectively and efficiently.
â—Ź Excellent organizational skills and attention to detail.
