Working Hours : Monday to Friday, 9AM-4PM Pacific (12AM-7AM Manila)
Salary Range : 800-1500 USD
RESPONSIBILITIES:
Sales and Client Coordination:
- Coordinate and schedule all sales calls between prospective customers and Cooper Simson.
- Manage the CEO's schedule, including coordinating sales calls and internal meetings.
- Handle follow-up communications with closed leads, and facilitate the gathering of all necessary information required to complete grant applications.
Communication and Customer Service:
- Triage, respond to, or route all customer inquiries to the CEO as necessary.
- Maintain a professional and responsive communication channel with stakeholders, clients, and partners.
Data Management and Reporting:
- Update the internal CRM, ensuring it accurately reflects the status and stage of each customer in the grant writing process.
- Generate regular reports as needed, such as sales reports and activity reports, to aid executive decision-making.
Financial Responsibilities:
- Perform basic invoicing procedures and oversee the collection of payments from customers.
- Assist with the preparation and submission of expense reports.
- Aid in monitoring and maintaining adherence to budgetary guidelines.
General Administration:
- Organize and maintain digital and physical files, securing and ensuring easy retrievability.
- Manage office supplies inventory remotely and place orders when necessary.
- Ensure adherence to company policies and procedures within all operations.
Calendar and Meeting Management:
- Coordinate travel logistics for the executive team, including booking flights, accommodation, and transportation.
- Develop and distribute meeting agendas to facilitate focused and productive discussions.
- Record meeting minutes accurately and distribute them to relevant parties in a timely manner.
- Project and Task Management:
- Assist in coordinating and managing various projects, ensuring they remain on track and within budget.
- Conduct research to support executive decision-making and strategic planning.
Secondary Responsibilities:
- Market Research: Conduct basic market research tasks to support the sales and executive teams.
- Documentation: Undertake administrative business tasks including taking meeting notes and handling documentation.
- Proficient in English with excellent verbal and written communication skills.
- Highly skilled in utilizing Google Suite applications, including Docs, Sheets, etc.
- At least 2-3 years of experience in an administrative or executive support role.
- Detail-oriented with a proven ability to manage multiple tasks and meet deadlines.
- Excellent organizational and multitasking abilities.
- A proactive individual with a problem-solving mindset, able to work with minimal supervision.
- Experience working in a remote environment, equipped with a reliable internet connection and a functional work setup.
- Previous experience in a sales or customer service role is a plus, showcasing the ability to engage positively and productively with clients.
