Duties and responsibilities:
The Operations Analyst role is responsible for supporting the Contract Coordinator as part of the Licensing & Compliance department. The Operations Analyst will specifically be providing analyst support for the company's facilities contracts, which include, but are not limited to: pest control, elevator service, landscaping, pool/hot tub maintenance/cleaning, waste management, etc.
Audits:
- Conduct routine audits of facilities contract databases to ensure the data set is complete and information is moving through the system in accordance with internal policies.
- Routinely audit third-party service provider invoices to ensure they comply with the contracted amounts and fee structure(s).
- Coordinate with local teams to conduct intermittent quality assurance audits.
Data Collection:
- Assist in the administration of contracts including leases, management agreements, and service contracts.
- Conduct market research to be used as benchmark values for our current costs.
- Organize data and information in a standardized format.
- Support the collection of facilities contract data as part of the initial property launch process.
- Analysis and reporting: Create recurring and custom reports analyzing quarterly and annual cost and vendor information and issue recommendations to the Contract Coordinator.
- Work on special projects as assigned.
- At least 2-4 years of experience with accounting, financial reporting, contract management, and administration.
- Strong command of Microsoft Excel: able to use pivot tables, create basic visualizations, etc.
- Experience analyzing costs for goods and services
- Strong analytical skills.
- Excellent project management skills with the ability to prioritize and track multiple tasks.
- Ability to identify, meet, and follow through with keen attention to detail.Experience working with digital filing and cloud-based record management systems, including Google Workspace.
- Experience with Asana or similar software, project management, and accounting software is a plus.
