Position: Client Onboarding Coordinator

Work Hours: Monday to Friday 9:00 AM to 5:00 PM EST | 10:00 PM to 6:00 AM Philippine Standard Time (with occasional weekends)

Salary Range: USD 900 - 1,100 per month (depending on qualifications and skills)

Holiday: Philippine holidays

About the job:

We are seeking an organized and detail-oriented individual to join our team as an Onboarding Coordinator. In this administrative role, you will work closely with the Director of Portfolio Management to nurture clients through the onboarding pipeline and ensure a smooth transition for their properties into our portfolio.

Responsibilities

  • Evaluate properties for onboarding based on our selection criteria, ensuring they meet our standards of quality and uniqueness.
  • Coordinate and schedule informational calls with prospective clients and the Director of Portfolio Management.
  • Support the Director of Portfolio Management by scheduling site visits to properties under Consideration.
  • Liaise with the Housekeeping Manager to organize cleaning schedules for new properties.
  • Coordinate listing photography sessions for new properties.
  • Nurture clients throughout the onboarding stages, including contract signing, licensing, and registration, ensuring a smooth and timely process.
  • Work closely with property owners to ensure their properties are fully prepared for guests, providing guidance and assistance as needed.
  • Ensure that property owners have a comprehensive understanding of our services, policies, and procedures prior to activation by providing collateral and escalating questions.
  • Efficiently gather and validate comprehensive client information, including licensing and registration details, insurance documentation, W9 tax forms, and pertinent bank information
  • Collaborate with the Director of Portfolio Management in achieving quantitative onboarding goals.
  • Gather reviews and feedback from clients post-launch, assessing their satisfaction with the onboarding process and identifying areas for improvement.
  • Other administrative tasks as assigned.
  • At least 3 - 5 years of relevant experience.
  • Outstanding communication skills, both written and verbal, with the ability to engage and build relationships with clients.
  • Previous experience in an administrative or coordination role using email for communication and scheduling.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and a commitment to maintaining high-quality standards.
  • Ability to work independently and collaboratively within a team-oriented environment.
  • Experience using Customer Relationship Management (CRM) software is highly desirable, with the ability to effectively manage client information, track progress, and generate reports.
