Work Hours          :Monday to Friday 8am-5pm or 9am-6pm Japan Timezone

Salary Range         :$900 - $1500 (Depending on the interview result and client’s 

approval)

Overview:

We are seeking a motivated and proactive Operations Associate to support our Chief Operating Officer (COO). This role is critical in maintaining our operational excellence and assisting in our growth trajectory, ensuring our clients receive unparalleled service.

Responsibilities: 

  • Assisting the COO in managing client communications, including email follow-ups, call scheduling, and deal progress tracking.
  • Re-engaging past leads to set up discussions with the COO.
  • Researching new and past leads to support strategic outreach.
  • Aiding in the creation of effective emails using Apollo (with training provided).
  • Assisting in contract preparation.
  • Managing invoice creation, billing processes, and follow-up for timely payments.
  • Supporting the onboarding of experts into the GourmetPro network.
  • Demonstrating a proactive and curious attitude, taking initiative in assignments, and seeking additional responsibilities.
  • Address and resolve any client concerns or complaints promptly, always striving for a positive outcome and maintaining the integrity of the company’s brand.

  • A bachelor’s degree in Business, Marketing, Communications, or a related field
  • At least 3 years of experience in an advertising agency, marketing agency, market research agency, or recruitment agency. 
  • Proficiency in G-Suite, HubSpot, and Notion is advantageous.
  • Strong communication and organizational skills.
  • Ability to multitask and prioritize in a dynamic, fast-paced environment.
  • Proactive problem-solving approach and eagerness to learn.
  • Team-oriented mindset with a positive attitude.
  • Solid background in sales admin and invoicing.
  • Exceptional written and verbal communication skills, as well as presentation abilities.
  • Proficiency in English is a must.
  • Curiosity and transparency are highly valued.
