Position : Executive Assistant
Working Hours : Monday-Friday, 12 AM to 9 AM Manila time or 8am-5pm (PST)
Salary Range : 800 - 1,500 USD
Duties and Responsibilities:
- Handle day-to-day administrative tasks such as managing correspondence, emails, and phone calls on behalf of the executive.
- Prepare and edit documents, reports, presentations, and other materials as required.
- Organize and maintain files, records, and databases.
- Conduct research and assist in administrative tasks.
- Coordinate the executive's schedule, including arranging and confirming appointments, meetings, and travel arrangements.
- Ensure that the executive is well-prepared for all engagements by providing necessary information and briefing materials.
- Act as a liaison between the executive and other team members, departments, clients, and external stakeholders.
- Respond to inquiries on behalf of the executive and relay important messages accurately.
- Schedule, organize, and coordinate meetings, conferences, and events.
- Take meeting minutes, prepare agendas, and distribute relevant materials.
- Make travel arrangements, including booking flights, accommodation, transportation, and preparing travel itineraries.
- Conduct research and gather data to assist the executive in decision-making processes.
- Prepare reports, summaries, and presentations to support executive-level decisions.
- Handle sensitive and confidential information with discretion and maintain strict confidentiality at all times.
- Assist with special projects and initiatives as assigned by the executive.
- At least 2-3 years of relevant experience..
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong organizational and time management skills to effectively manage multiple tasks and deadlines.
- Candidate must be a quick learner and keen on details.
- Excellent communication skills, both written and verbal, to interact with internal and external stakeholders.
- Proficient in using Google Suite, Microsoft Office and internal tools
- High level of professionalism and ability to represent the executive and the organization with tact and diplomacy.
- Attention to detail and ability to maintain accuracy in all aspects of the role.
- Strong problem-solving skills and ability to work independently and make decisions when needed.
- Flexibility and adaptability to accommodate changing priorities and unexpected situations.
- Discretion and confidentiality when handling sensitive information.
