Job Duties and Responsibilities
- Tracking, Analysis, Planning & Actions (TAPA)
- Drive higher asset and drive performance through coordinating renovation and expense minimization projects
- Track property-by-property KPI (e.g. income & Expense; # of maintenance requests; leasing and renewal stats), daily accuracy, and monthly reporting
- Keep Notion Internal Wiki updated for areas related to Property Maintenance and operations, as needed
- Keep Notion Property Guides updated for seamless resident check-in, property upkeep, and check-out experience
Team Management
- Serve as a direct report for Customer Service and Data Associates. Work closely with maintenance Tech and contractors/vendors
- Conduct regular 1:1’s
- Conduct Performance Review
- Help with Recruitment as needed
- Communicate with our partners in leasing and maintenance management
- Work directly with site managers, technicians, and vendors as needed
- Coordinate work orders between site managers, technicians & vendors as needed, while communicating with residents
- Establish and maintain wholesale supplier and vendor relationships
Customer Success & Maintenance
- Serve as the first point of contact on property management and tenant concerns, seeing through to resolution
- First forward on a company phone
- Create property inspection work orders, assign, and inspect virtually when needed
- Maintain property by addressing tenant complaints, coordinating and ensuring repairs, sourcing outside vendors, and enforcing rules
- Notify residents of time-sensitive items (e.g. appraisal, inspection, maintenance)
- Coordinate proactive maintenance schedule (e.g. HVAC, landscaping, tree removal)
- Coordinate unit turnovers and oversee renovations
- Respond to and track after-hours emergency tenant communications
- Track and inventory storage items (e.g. furniture, appliances)
- Coordinate WO between site managers, technicians, vendors, and residents as needed
Financial Success
- Invoice and collect from clients and customers
- Review and follow up on past due rents (e.g. on the 1st; on the 5th; on the 10th).
- Develop and execute escalating courses of action depending on tenant delinquency.
- Work with and file notice to quit / small claims/eviction as necessary
- Handle insurance renewals, seeking ways to maximize coverage and minimize cost
- Work closely with Real Estate Accountants and tenants to answer financial-related questions
Requirements:
- Minimum of 2 years of experience in US-based real estate, especially property management (e.g. residential/multifamily/hospitality)
- Prior experience with US maintenance, general repair work, or construction/renovations
- US-based customer service experience
- Demonstrated work in project management
- Highly proficient in data analysis using software
- Reliable internet/WiFi and quiet workspace
- Good written and spoken English
- Experience with Slack, Google Suite, AppFolio, Notion & Loom is a plus but not required. Successful candidates will have the ability to learn new software quickly and independently.
