Working Hours : Monday to Friday, 8AM-5PM, Central (10PM-7AM, Manila)
Salary Range : 800-1200 USD

- Manage and triage email communications, ensuring effective internal and external communication within both Defacto Sound and Twenty Thousand Hertz.
- Write and draft emails and messages on behalf of the business owner & key staff, matching their style and ensuring accuracy.
- Prepare responses for the business owner & key staff’s review and send them out in a timely manner.
- Book travel and appointments, managing schedules to ensure efficient time management across both entities.
- Maintain and update CRM (Hubspot) with necessary information pertinent to both Defacto Sound and Twenty Thousand Hertz.
- Handle various administrative and time-sensitive errands, providing support wherever needed.
- Conduct data entry and research tasks as required, contributing to the smooth functioning of operations.
- Research vendors, gifts, and service providers to support business needs.
- Prepare and edit documents, presentations, and reports for both companies.
- Keep a meticulous record of activities on Google Calendar, ensuring organized scheduling.
- Assist with podcast operations, posting, and reporting.
- As this role is open-ended, you may be required to undertake other tasks as needed, providing a dynamic and varied work environment.
Qualifications:
- At least 2 years of experience working as a Virtual Assistant
- Possess extremely proficient American English
- Very strong proficiency in American-style writing.
- Extensive experience with Gmail.
- Skilled in using Google Sheets and Google Calendar.
- Familiarity with Slack and other communication tools.
- Ability to effectively manage and triage email communications.
- Competence in drafting and writing emails and messages from dictation.
- Capability of handling administrative and time-sensitive tasks efficiently.
- Proactive, joyful, energetic, empathetic, hard-working, and passionate.
Must be proficient in the following tools:
- Slack
- Gmail
- Google Calendar
Good to have experience in the following:
- GSuite
- HubSpot
- MailChimp
