Who We’re Looking For
We're looking for a detail-oriented individual with excellent interpersonal and communication skills. You're a problem-solver with a strong work ethic, able to handle sensitive information with discretion and maintain a high level of confidentiality. You thrive in a fast-paced environment and can manage multiple tasks simultaneously while maintaining your poise and professionalism. You will primarily act as the executive assistant to the CEO, as well as support the Chief of Staff. You will report to the Chief of Staff.
What You’ll Do
- Administrative Support: Manage and maintain executives' schedules, appointments, and travel arrangements, along with virtual travel support.
- Communication Management: Act as the point of contact between executives and employees/clients. Manage incoming and outgoing communication, including emails, Twitter DMs, etc.
- Data Entry and Maintenance: Accurately input data into various databases, spreadsheets, and systems. Update and maintain existing records to ensure data integrity. Perform regular data cleansing and validation procedures.
- Documentation and Reporting: Maintain comprehensive and organized records of tasks and activities. Generate reports and summaries as required.
What You’ll Bring
- 4+ years experience as an executive assistant or in a similar administrative support role.
- Proficiency in G-Suite, Slack, Notion, and other productivity tools.
- Familiarity with CRM and ATS platforms or ability to learn.
- Exceptional time management and organizational skills, with the ability to prioritize and manage multiple tasks.
- Strong written and verbal communication skills, including the ability to draft professional correspondence.
- Discretion and confidentiality when handling sensitive information.
- Ability to anticipate needs and take initiative to ensure the executives' schedules and projects run smoothly.
- A positive attitude, flexibility, and adaptability in a rapidly changing environment.
