Position: Executive Assistant
Work Hours: Monday to Friday, 9:00 AM to 5:00 PM EST | 10:00 PM to 6:00 AM Philippine Standard Time (with flexibility depending on the client's needs)
Holidays: Flexible
Pay Range: USD 900 - 1,500 per month (depending on qualifications and skills)
Responsibilities:
PHASE 1
- Get imbedded in email inbox
- Create a triage system for email
- Folder emails that don’t need attention
- Develop a prioritization / action item summary from all emails received on a daily basis
- Feedback will be provided on that list for the next day actions
- Based on action list
- Schedule meetings and calls
- Book travel
- Keep large proactive projects top of mind
- Gift purchasing and other helpful tasks
- Specific Examples
- Signing routine documents
- Maintaining contact information
- Research Chase workforce development – allotting 15 hours for studying for series 7
- Schedule volunteer activities
- Send holiday gifts
- Assist in the logistics or planning of company events
- Triage 100+ emails daily
- Book flights and hotels for approximately 40-50 trips annually
- Schedule and track approximately 25 meetings weekly
PHASE 2
- Develop system for touching base to ensure high priority items receive attention
- Providing feedback on how to improve systems or process
- Help CEO and team with projects
- Event planning
- Travel
- Organization
- Meal ordering
- Fundraising / new deal pipeline management / follow up
- Scheduling calls / meetings
- Populating data rooms with information
- Basic research
- Powerpoint / Word / Email projects
- Design
- Drafting content
- Investor relations
- Work with team to organize the business
- All legal documents
- Regulatory information, including FEINs, bank account info, etc.
PHASE 3

- At least 2 years of experience as an Executive Assistant supporting a foreign client
- Excellent verbal and written communication skills
- Proficient in Microsoft Office 365 (specifically MS Outlook, PowerPoint, Word, Excel, and OneDrive), Canva, and any CRM tool
- Comfort and interest in artificial intelligence and social media expertise is preferred
