Salary: pay to start at $1150, increase based on performance review at 90 days, up to $1250

About the job:
We are seeking a detail-oriented and proactive Purchasing Administrative Support Specialist to join our team and contribute to the efficiency of our purchasing processes.
Duties and Responsibilities:
Typical working hours are Monday through Friday from 8:00 am to 5:00 pm with 1 hour for lunch but there will be times when an earlier or later start/finish will be required as needed, weekends are available as flex time, as needed for time off. For listed Holidays we are closed.
- Availability on weekends and after hours may be required
- Timely and professional contact with Purchasing Manager
- Continued communication with trade throughout the duration of a project expected for any pricing changes, variance PO’s or updates due to municipal or plan changes
- Address and follow through with PO discrepancies immediately
- Coordinate all project superintendent estimates, PO issuance and PO updates
- Notify team of any late arrivals for products or back order items
- Keeps departments updated on bidding process with shared ASANA project management software
- Create Material lists and maintain budgets for all listed products
- Assist with Managing the purchase of products and services for jobs in production
- Research and Evaluate Suppliers based on things like cost, selection, service, distribution capabilities, and availability, communicates the findings to the Purchasing Manager
- Assist with negotiating new deals, as well as to renegotiate the expiring contract
- Tracking the progress of all shipments and addressing any problems
- Place orders for products and supplies
- This position requires extreme attention to detail, as one mistake could affect the company’s bottom line
- Make sure everything is on budget; screen the purchases being made to ensure there’s no waste, and negotiate pricing with suppliers
- May be asked to assist Division Managers in the procurement of building permits while working with the superintendent to track and schedule permit inspections
- Maintain notes in production files including all phone calls and discussions with the trades and suppliers
- This may include making notes in the file for the estimator or production superintendent if needed
- Maintain all details of multiple projects in an organized manner utilizing easily accessible client production files
- Keep filing systems organized
- Maintain effective and efficient paperwork flow and processing
- Perform routine office duties including but not limited to preparing and printing job costing reports, preparing, and printing daily scopes of work, and generating sales and production reports and filing in shared drive locations
- Accurate data entry
- Communicate with others on what the status is of tasks that you have been given
- Attend weekly staff meetings
- Utilize the company vision and mission while achieving goals
- Give feedback for improvements while actively looking for solutions
- Order materials for jobs as requested
- Receive orders
- Seek additional assignments and duties when the workflow is slow
- Observe all safety policies
- With at least 2 years of experience in the similar role
- Highly organized and able to follow through independently on assignments
- Strong data entry and maintenance of records skills
- Strong communication skills ( English)
- Negotiation and conflict resolution skills
- High attention to detail
- Ability to make quick decisions within company guidelines
- Able to use Office Suites programs, to include but not limited to Excel, Word
- Able to read construction blueprints and perform takeoffs of square footage and materials
- Strong customer service skills
- Positive attitude and interpersonal skills
- Ability to work independently
- Ability to thrive under pressure
- Construction-related education preferred, not required
- Negotiation: 3 years (Required)
