Position:  Project Manager - Admin Assistant

Working Schedule:  Mondays to Fridays, 9:00 AM - 5:00 PM CST | 11:00 PM - 7:00 AM PHT
Salary Range:  $900 - 1500 / Monthly 

ABOUT THE ROLE:

We are seeking a highly organized and detail-oriented Project Manager to join our team and support our operational staff in managing and executing projects efficiently. The ideal candidate will play a crucial role in enhancing communication, organizing project information, and assisting in various administrative tasks.

RESPONSIBILITIES:

  • Collaboration: Collaborate with various departments to facilitate effective communication and workflow.
  • Project Communication: Receive and manage all project-level communication to ensure an additional layer of checks and balances.
  • Scheduling: Efficiently manage and coordinate schedules, appointments, and meetings for executives and team members. Process scheduling for all team members on a central calendar so all team members may have visibility, including organizing project-specific recurring meetings and team meetings. Assist with scheduling for the executive leadership team on all meetings, business travel, and coordination on individual ELT calendars.
  • Project Tracking: Support project management activities, including tracking timelines, deadlines, and deliverables. Communicate with respective project managers on upcoming deadlines and deliverables to ensure we are on time and within budget.
  • File Organization: Assist in organizing and maintaining files, documents, and other records. Make recommendations to improve organization & guide team members on how/where to find project material. Organize all project information into respective DropBoxes, ShareFiles, and Monday Folders for easy reference by the entire team. Organize company and project-specific records for the executive team.
  • Executive Support: Maintain individual folders for executive team members, providing seamless access to relevant information.
  • PR/Marketing Assistance: Assist the CEO in PR and marketing efforts to contribute to the overall success of our projects.
  • Inbound Inquiries: Handle and respond to inbound inquiries promptly and professionally.
  • Meeting Support: Act as a scribe during team meetings to ensure comprehensive documentation of discussions and completion of action items.

Minimum Requirements:

QUALIFICATIONS:

  • At least 2-3 years of experience in the role
  • Good to Excellent communication skills both written and verbal.
  • Proficient in office productivity tools (e.g. Google Workspace, Zoom, Microsoft 365, etc.)
  • Knowledge in using Dropbox, Monday.com, ShareFiles, and any other project management tools.
  • Someone who embodies values and demonstrates resilience, confidence, and initiative.
  • Tech-savvy with the ability to work with digital tools, communication platforms, and project management tools. 
  • An individual prepared to take on various roles and effectively manage extra responsibilities.
