Job Title: Chief Financial Officer
Work Hours: M-F; 9:00 AM-5:00 PM EST / 10:00 PM-6:00 AM PH Time
Salary: 2,000-3,000 USD per month
Duties and Responsibilities:
- Complete daily bank deposits and cash applications.
- Complete monthly bank reconciliations.
- Manage cash flow daily.
- Complete financial statement reviews on a monthly or quarterly basis.
- Complete year-end close-out.
- Create and maintain ongoing company budgets.
- Review proformas and urgent payment for vendors.
- Manage credit card payments in Paytrace and apply in QuickBooks.
- Maintain all project-related files on the company-wide shared drive.
- Other duties as required (e.g., data entry, maintaining various spreadsheets, etc.).
- Handle all AIA Billing.
- Handle 1099s, intercompany, cash flow analysis, and speak daily with ownership.
Accounts Receivable (AR)
- Spearhead all collections efforts and proactively reach out to customers when they are past due and keep notes of all ongoing conversations.
- AR aging report generation.
- Send past dues according to the AR aging report.
- Reconcile QuickBooks customers according to the Billing sheet.
- Deposit invoices in QuickBooks.
- Reconcile customer job with the payment.
- Response to payment request emails from vendors.
Accounts Payable (AP)
- Deposit checks.
- Enter vendor invoices in Bill.com.
- Put vendor invoices in the Project Management folder for approval.
- Review vendor invoices approved by Project Management and update the excel file for payment.
- Enter credit memos in Bill.com.
- Reconcile AP between QuickBooks and Bill.com and vendor statements.
- Resolve vendor issues and unreconciled accounts.
- Bill out CI billing in the Project Manager’s folder.
- Reconcile credit card accounts.
- Reconcile bank statements.
- Reconcile invoices vs. job profitability to ensure the right job allocation.
- Enter expenses invoices in Bill.com and mark them as paid.
- Save checks in the project folder.
- Process Accounts Payable invoices and W-9 verification for new vendors.
- Complete weekly Accounts Payable check run and monitor when invoices are due.
- A minimum of 5 years of experience as a CFO, with extensive experience in growth and middle-market companies.
- Proficient in using QuickBooks and has experience with various online banking portals.
- Background in distribution businesses, preferably with drop ship experience.
- Exceptional leadership abilities and experience in managing finance teams.
- Strong proficiency in financial modeling, forecasting, and cash flow analysis.
- Fluent in English, both written and spoken.
- A track record of success in strategic financial planning and execution.
- Bachelor’s degree in Accounting, Finance, or a related field; an MBA or CPA is highly preferred.
- Ability to operate at a high level of autonomy, demonstrating both strategic thinking and the capacity to lead day-to-day financial operations.
