Position:   Virtual Assistant/Billing Specialist

Working Hours: Mondays to Fridays, 8 AM - 4:30 PM Eastern Standard Time (subject to change)

Salary Range: $900-$1,000/month

About the Company 

They are a diversified and growing wastewater management company seeking a highly organized and skilled individual to join their team as an Accounts Receivable Manager / Virtual Assistant (to the President). This remote position offers the opportunity to work closely with our president, contributing to both financial management and administrative efficiency




Duties and responsibilities: 

Accounts Receivable Manager (Approximately 50%):

  • Daily invoice and payment batching within the company CRM system.
  • Daily monitoring of accounts receivable for overdue balances.
  • Conduct outbound calls to customers with overdue balances to encourage timely collection of balances due.
  • Generate and present weekly accounts receivable aging reports to the president.
  • Actively update customer payment terms in the company CRM system to ensure the accuracy of reporting. 

Administrative Assistant (Approximately 50%):

  • Directly support and work with the company president. 
  • Monitoring and prioritizing the president’s emails, ensuring high-priority emails are seen and addressed, and low-priority emails are deleted or handled without the president's involvement.
  • Provide a daily schedule summary to the president each morning.
  • Send adequate reminders to the president prior to meetings.
  • Manage travel arrangements for the president and company staff, including flights, venues, and restaurants.
  • Assist with various administrative tasks as needed

Requirements:

  • 2-3 years of experience as a Virtual Assistant or similar position
  • Proven experience and familiarity with accounts receivables management and other related basic bookkeeping tasks.
  • Excellent communication skills, verbal and written
  • Proficiency in Microsoft Office Suite (especially Excel) and CRM Systems
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Great problem-solving skills with efficiency and multi-tasking skills
  • Can work independently
  • Self-led and confident
