Location: Fully Remote (Manila, PH)

Salary: 1200 - 1500 USD/month

A dynamic architecture and landscape office based in San Diego, California, is actively seeking an Executive Virtual Assistant to join its team. The successful candidate will play a crucial role in providing invaluable support to the founder and ensuring the seamless functioning of office operations. 

As a Executive Virtual Assistant your responsibilities will include but are not limited to:

Calendar Booking:

  • Efficiently manage and organize the executive’s schedule, ensuring appointments and meetings are scheduled optimally.
  • Streamline communication by reviewing and forwarding emails to the appropriate individuals.

Contract Administration:

  • Oversee active contracts with clients, providing essential support to the financial department for timely billing.
  • Collaborate with Project Managers to address changes in contract scope, drafting necessary amendments for review by the executive.

City Portal Management:

  • Access city portals to check permit statuses and facilitate the permit application process.
  • Update and maintain spreadsheets related to city permits, ensuring accuracy and completeness.

Back of House Support and Data Management:

  • Handle all scope and date change information, updating relevant spreadsheets promptly.
  • Provide assistance to Project Managers in various administrative tasks, ensuring smooth project execution.

Excel and Smartsheet Expertise:

  • Utilize Excel and Smartsheet for data management, reporting, and analysis.
  • Proficiency in Excel is a must, with the ability to navigate and create complex spreadsheets.
  • Update and maintain spreadsheets related to client and project data, ensuring accuracy and completeness.

  • Proven experience as an Executive Assistant or similar role.
  • Strong organizational and time-management skills.
  • Excellent communication skills, both written and verbal.
  • Familiarity with contract administration and financial processes.
  • Proficient in Microsoft Excel and Smartsheet.
  • Ability to adapt and thrive in a fast-paced environment.
