LOOKING FOR FILIPINO CITIZENS BASED IN THE PHILIPPINES

Job Title: Operations Associate

Work Hours: M-F; 9:00 AM-6:00 PM GMT +8 time zone

Salary: 800-1,500 USD per month

Duties and Responsibilities:

  • Expense Tracking and Reimbursements: Keep track of business-related expenses and vendor invoices across multiple entities. Manage the reimbursement process to make sure invoices don’t fall through the cracks.
  • Maintaining the CRM Database: We interact with thousands of new and old contacts each year, ranging from current and potential investors in our fund, other venture investors that we invest alongside, portfolio companies, founders of new startups, operational executives, and other service providers like lawyers, accountants, bankers. Part of the responsibility of the Ops Associate will be to maintain our internal CRM database.
  • Contract Administration: Manage board resolutions, corporate documents, and material contracts signed by keeping them organized and electronically filed.
  • Organizing Pipeline of Potential Investments: Manage the deal flow pipeline based on communications from the investment team, ensuring all records in database tools like Airtable or Notion are accurate and up-to-date for quick decision-making.
  • Market Research: Utilize specific data sources to update the firm’s internal database of recent fundraises. Compile summaries and trend reports for the team.
  • Coordinate Travel and Entertainment: Arrange and manage travel itineraries and entertainment bookings, including flights, hotels, and restaurants. Handle any last-minute changes efficiently.
  • At least 4 years of proven experience as an Operations Associate or similar role.
  • Fluent English Speaking and Writing Ability: Excellent communication skills are essential for both internal and external interactions.
  • Good Communication Skills: Understand and communicate messages clearly and efficiently.
  • Software Proficiency: Adeptness in using (or learning to use) tools like Notion, Airtable, and Google Sheets for project management.

Ideal/Nice to Have/Preferred:

  • Has Accounting or Bookkeeping experience.
