LOOKING FOR FILIPINO CITIZENS BASED IN THE PHILIPPINES 

Position:   Executive Assistant

Working Hours: Full-time, Mondays to Fridays, 8 AM - 5 PM Central Standard Time 

Salary Range: $800-$1,500/month

Duties and responsibilities: 

  • Works closely with Company President and other administrative staff 
  • Inputs and updates information in spreadsheets for reporting purposes
  • Coordinates and schedules travel, meetings, and appointments
  • Manages inbox and calendar for President, as needed
  • Respond to and resolve admin or office-related questions, as needed
  • Prepares meeting agendas, records minutes, and documents action items
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
  • Works with sensitive information with discretion to maintain confidentiality and ensure compliance with privacy policies and regulations
  • Work closely with other senior management across multiple departments, handling various tasks to streamline their work and communications. Will provide personalized assistance, ensuring smooth operations and effective communication
  • Reconciles and reviews expense reports and invoices as needed
  • Runs reports; maintains customer or vendor contact lists
  • Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand
  • Assist with event planning and coordination
  • May be asked to cross-train into other roles to assist with additional depth within the company. 
  •  At least 2 years of experience working as an Executive Assistant or in a similar position
  • Proficiency in Google Workspace and/or Microsoft Suite Apps is a must
  • Excellent verbal and written communication skills.
  • Ability to meet deadlines.
  • Excellent decision-making abilities.
  • Proactive, excellent problem-solving skills, and detail-oriented with a high level of accuracy
  • Excellent Time management skills, can multitask and has the flexibility
  • Ability to handle confidential information.
  • Outstanding ability to work independently as well as part of a team.
  • Excellent organizational and interpersonal skills.
  • Experience with submitting sales tax reports and reviewing sales receipts for proper sales tax application
