As the Executive Assistant, you will be primarily responsible for providing experienced high-level administrative and operations support to two CEO’s. This role will be crucial to the smooth operation of the business. This role requires a detail-oriented self-starter with strong communication and interpersonal skills, capable of communicating effectively across teams and with individuals across all levels of the organisation. This role acts as an intermediary between employees and customers, prospects, partners, suppliers and third parties.
Organise the CEO’s day-to-day calendar to ensure that meetings are scheduled and actions are followed through in line with current priorities. Escalate and coordinate the CEO’s inbox to highlight critical priorities and resolve matters autonomously that do not require the CEO's input
You will be a valued member of our People and Operations team reporting to our Resource and Operations Manager.
A Day in the life:
Calendar and diary management, meeting coordination and forward planning
Management of email inbox, including sorting, categorising and filing
Management of all expenses for the CEO and own the budgets for our leadership team
Order management for our J4RVIS merch, Company gifts, exam vouchers etc
Keep internal company documentation up-to-date (eg. Team Directory, Staff Profiles, Lunch and Learn schedule, etc)
Coordinate weekly LT meetings by owning meeting agendas, and action items and liaise with key stakeholders to ensure accountability and alignment on key issues
Helping to build internal company presentation decks
Logistics and organising for our growing Philippines team
Travel coordination and management inclusive of booking accommodation and preparing itineraries
Managing internal J4RVIS company posts and announcements within Microsoft Teams
Coordinate with Leadership to schedule and action company planning and strategy processes throughout the year
Event management, including off-sites, workshops, team celebrations and ceremonies as both driver (i.e. of leadership events) and contributor (i.e. to support People Ops)
Responsible for the provision of ad-hoc support as required
